Job Description
RH is seeking a highly organized, proactive and resourceful Executive Assistant to provide exceptional support to our Chief People & Values Officer, who oversees key teams including Customer Experience, HR, Safety & Security and Facilities. In this role, you will be a trusted partner, orchestrating seamless administrative operations while driving efficiency across all aspects of a dynamic business. We are looking for an individual with exceptional communication skills, the ability to expertly manage multiple high-level priorities and an unwavering commitment to upholding service, excellence and collaboration. YOUR RESPONSIBILITIESManage the executive's inbox, prioritize communications, and respond on behalf of the executive when appropriateCoordinate complex calendars for the executive, coordinating and prioritizing multiple meetings, events and deadlines across various time zonesSchedule and organize meetings, handling all logistics (invites, Zoom links, conference rooms, etc.) and ensure all relevant materials and data are prepared in advanceOversee travel arrangements and itineraries, ensuring adherence to company travel policies and organizing accommodations for the executive and any traveling guestsOrganize the executive's expense reports, review and approve submitted expenses and ensure compliance with organizational policies and fiscal deadlinesArrange food and beverage services for the executive and team including daily meals and special event planning (e.g., birthdays, team lunches)Support our office and overall campus quality efforts ensuring spaces reflect company values and standardsAct as the primary liaison between the executive and internal teams fostering clear communication, prioritizing key interactions and advocating on behalf of direct reports when necessaryCollaborate with fellow executive assistants to support the leadership teamProactively manage sensitive communications with discretion maintaining the privacy and confidentiality of leadership operationsOUR REQUIREMENTS
Proven experience as an Executive Assistant or in a similar role supporting senior leadership ideally in a fast-paced, high-pressure environmentStrong organizational and time management skills, with the ability to prioritize multiple tasks and meet tight deadlinesExcellent written and verbal communication skills, with the ability to handle sensitive information and difficult conversations with discretionProficiency in Microsoft Office Suite (PowerPoint, Excel, Word) and Google Workspace (Sheets, Docs)Familiarity with travel arrangements, expense management systems (e.g., iExpense, Kofax) and Human Capital Management (HCM) toolsWork independently, anticipate needs and respond quickly to changing circumstancesPHYSICAL REQUIREMENTS
Demonstrate flexibility and availability to provide support outside of regular business hours, including evenings and weekends, as neededPlease Note | This position requires the team member to be on-site Monday through Friday at our Home Office in Corte Madera, CA
