Job SummaryUnder the direction of the Director of Alumnae Engagement, the Assistant Director of Alumnae Engagement leads project management work and administrative implementation of volunteer stewardship projects and reunion programs. Responsible for planning an annual volunteer stewardship/enrichment event off campus. Works closely with the Assistant Director for Reunions to carry forward substantial components of the reunion project. Refines and confirms logistical details and communications related to reunion meals, class and college programs, and required program resources. Refines and confirms logistical details related to all Volunteer Stewardship resources, events, programs and gifts.Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.Essential FunctionsProject Management (45%)Project manage the annual volunteer stewardship plan under the direction of the Director of Alumnae Engagement each fall. This includes virtual enrichment and training events, one in-person event, an annual volunteer stewardship gift, and the creation of volunteer training and support resources.Under the guidance of the Assistant Director for Reunions, provide project management expertise in support of Reunion planning and implementation each spring to yield:120+ distinct experiences
60 distinct meals/menus to plan with Smith dining and outside caterers
120+ tech /AV setups
140+ space reservations and furniture setups
100+ speaker events
This includes: communicating with partners in IT, student life, dining, facilities and Events Management and outside 20+ vendors; supporting contract review and payment as appropriate.Program Administration and implementation (40%)Oversee the successful administration of reunion and volunteer programs, events and resources directly and in collaboration with relevant Alumnae Relations & Development teammates and other relevant campus partners. Enacting the tasks necessary to move key aspects of the event planning forward inclusive of zoom meeting and webinar setup and support, space reservations, meal planning/ordering, supply ordering, room reservations, work orders, etc. Support communication with relevant partners as needed.Seasonal Reunion Work (10%)Directly support Reunion program planning and implementation each year from mid-April to late May.Other Functions (5%)Participate in team meetings, task forces and committees as required. Back up other staff needs as necessary. Perform related duties as required.All employees are expected to participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)Bachelor's degree plus a minimum of 2-4 years of relevant experience or an equivalent combination of education/experience.Experience working with individuals from diverse backgrounds.Preferred QualificationsExperience with project management and event planning/ implementation. Experience with volunteer management. Experience working with diverse groups.SkillsExcellent verbal and written communication skills. Excellent computer skills and organizational skills. Excellent customer service while interacting effectively with a diverse population including alumnae, students, faculty, staff and outside vendors. Must be able to maintain confidentiality, work under pressure and be flexible. Must possess strong organizational skills, attention to detail, be able to prioritize work effectively, take initiative and solve problems. Willingness to work occasional overtime with evenings and weekends (approximately 5 weekends per year). Must be comfortable with technology and willing to learn emerging technologies as necessary. Proficient use of Microsoft Office suite, CRM systems, and video conferencing. Experience with Salesforce and Zoom a plus.Action-oriented, entrepreneurial, flexible, and innovative. Able to function as a team player in a fast-paced and results-driven environment. Ability to interact and work effectively and collaboratively across a complex organization and with a wide range of constituencies.
