The Program Coordinator will report to the Assistant Director of Academic Operations and fulfill a vital role in supporting MGEN student employment activities. The Program Coordinator will help manage the day-to-day tasks associated with hiring student employees for the MGEN unit, primarily the hiring and managing of teaching and instructional assistants supporting classes, which includes but are not limited to: organizing, coordinating and overseeing the student application and hiring process; correspondence to faculty regarding the selection process; facilitating collaborations and support from internal partners such as student employment; assisting in planning and coordinating TA and IA training sessions; creating and updating offer letters and new hire documents; as well as assisting in general data collection and analysis. The role will require excellent customer service, efficient daily operations, and a proven ability to work independently in a fast-paced environment.QualificationsBachelor’s degree and 2-3 years of work experience preferred; a master’s degree is preferred with experience working with faculty, students, and/or recruitment. Proven ability to work independently, excellent communication and presentation skills, and sensitivity and responsiveness to the needs of international student populations. The ideal candidate must demonstrate strong organizational and time management skills, including managing multiple projects and prioritizing tasks. A successful incumbent will be a team player with a strong work ethic who actively contributes to the office community and has a high level of attention to detail.Key Responsibilities & AccountabilitiesAdministrative SupportServe as the point of contact for students and faculty for questions/concerns regarding the TA requirements and employment process.Assist in the development and management of TA Teams Channel.Assist with recording TA selections/matches.Update and create program-related materials including new hire process guidelines, FAQ, offer letters, etc.Monitor and reply to students' queries daily through the MGEN-TA email and TA Teams channel.Assist with updating internal websites, TA application, syllabi site, etc.Schedule meetings with internal partners – student employment, HR, as needed.Create meeting agendas and take meeting minutes.Student SupportFollow up with students regarding completion of new hire forms/paperwork.Conduct check-ins with students working as teaching assistants each semester during office hours.Monitor completion of assignments and timesheets and conduct follow-up with TAs, as needed.Schedule and facilitate information sessions during the beginning of each semester with students to answer questions/concerns.Assist to facilitate TA training sessions before the beginning of each semester.Data ManagementAssist with the collection and analysis of data (number of TAs, course enrollment numbers per network campus, etc.).Maintain relevant student employment information.Develop and create forms to collect student information.Create and customize visual charts for presentations.The application must include (1) a detailed cover letter describing your interest in this position, how your experience relates to it, and how you could contribute to the further development and growth of the Multidisciplinary Graduate Engineering Co-op unit; (2) resume; (3) names and contact information of at least three references.Position Type : General Administration
