Who we are looking for:
We are seeking an experienced Executive Administrative Assistant to join our team! The ideal candidate will need to be a self-starter, tech-savvy, diplomatic with a positive attitude, and have the ability to manage projects and work with minimal supervision. As the Executive Assistant, you will need to be intuitive and proactive, demonstrating your forward-thinking ability and willingness to anticipate needs. You will need to be calm under pressure with solution-oriented problem-solving skills. This position will operate from our Bastrop branch location.
What you'll do:
Manage phone calls and emails; organize and distribute interior and exterior communications; prioritize the activities of the Market President.
Assist in preparing and editing communications to company team members and external groups on behalf of the executive.
Calendar management, including making and confirming appointments, and prioritizing meetings and task lists.
Plan events and meetings including room reservations and layout. Attendees, agendas, material preparation, menu planning, and maintaining the budget.
Schedule, plan, and coordinate internal and external meetings, training, lunches/dinners, interviews, video conferences, and conference calls.
Prepare and monitor personal expense reporting.
Communicate with community organizations regarding sponsorship/donation opportunities and tracking.
Coordinate accounts payable and vendor management at the local market level.
Liase with our Marketing Team regarding production requests and project tracking.
Provide a full range of executive/administrative support.
Send gifts, handwritten cards, etc.
Initiate, coordinate, and update special projects as assigned.
Provide feedback and input to help continually improve the experience of the company's team members.
Create associations of trust and respect with key stakeholders.
Organize and schedule travel arrangements.
Perform other administrative duties as assigned.
What you'll need to be successful:
Success in this job relies on your time management skills, organization, and positive attitude. In addition, you'll need the following qualifications:
Strong alignment with the Bank's Mission, Vision and Core Values.
At least 3+ years of well-rounded experience providing support for senior-level executive management.
Associate's or bachelor's degree preferred.
Advanced proficiency with MS Office software (primarily Outlook, Word, Excel, and PowerPoint).
Excellent verbal and written communication skills.
Strong interpersonal and relationship skills.
Ability to exercise discretion when working with sensitive information and maintain confidentiality.
Ability to prioritize, assess needs, take action and follow through with commitments.
Ability to juggle multiple tasks, assist multiple people and function with competing priorities.
Strong proficiency with video and team communication software such as Microsoft Teams, Zoom, and Webex.
Must be highly organized, flexible and detail-oriented.
