Job Description

Under the general guidance of the CHRO providing administrative support to the Chief Human Resources Officer and as needed to Human Resources leaders and staff.

Summary of Essential Duties & Responsibilities:Primarily works for the Chief Human Resources Officer.Answers, screens and takes telephone messages, maintains calendar, schedule meetings/conferences and prepares agenda/attendance sheets.Reviews emails and print pertinent information for HRD's review and follow-up.Assembles material, makes necessary arrangements to record proceedings of meetings and conferences; types meeting minutes.Prepares documents and files to be transferred to off-site facilities.Updates manuals, policies and procedures.Orders supplies and prepares purchase requisitions through PeopleSoft Supply Chain.Record, track and maintain spending activity for all purchase orders.Record and track Action Request Forms to identify location in approval in the process.Member of the Employee Recognition Committee and Woodhull Engagement Committee with preparing for events, inventory and purchases.Record, track and update report on all employee arrest notifications for review by Director, Human Resources.Work on special projects preparing, updating reports, PowerPoint presentations, etc.Schedule interviews, track and update report on Workplace Violence cases for review by WPV Coordinator/ CHRO or WPV designee.Request Financial Disclosure upon notification from Exit Coordinator of managerial employees separating from service who are required to complete a Financial Disclosure.Serves as liaison for Woodhull with the Conflict of Interest Board (COIB).Record, track and update report of all employees required to file a financial disclosure with the COIB.Assist with special audits and projects as requested.Types memos and other correspondence; prepares requested reports.May assist the HR Deputy in the absence of CHRO.Perform other duties as assigned by CHRO.Minimum Qualifications1. a. High School Diploma or equivalent, and four years of clerical experience including two years as a stenographic secretary; or,b. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or,c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters.3. High level verbal, written and secretarial skills and knowledge required; or,4. A satisfactory combination of education, training and experience.
