Job Description
The Senior Administrative Assistant to the Vice President, Institute for Capacity Building is responsible for providing comprehensive support to the VP and partnering with the operations team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Launched in 2006, UNCF's Institute for Capacity Building (ICB) provides targeted capacity-building resources to help HBCUs improve their resilience. We define resilience as the institution's ability to improve its operation today and future-proof them for tomorrow. ICB's engagement equips UNCF member institutions, and other HBCUs and PBIs, to provide high-quality educational experiences to their students and the broader Black community. ICB's work focuses on three areas critical to HBCU success: institutional effectiveness, academic competitiveness, and financial viability. Beyond our strategic advisory and project management support, ICB serves as an innovation hub for Black colleges, connecting institutions to funders, best practices, resources, and subject matter experts both within and outside of UNCF.
Successful candidates will join the Institute for Capacity Building team which is headquartered in Atlanta, Georgia. In addition to specific roles and responsibilities, ICB team members have proven to be successful when they:
* Are driven to serve people and institutions that are often undervalued and overlooked;* Embrace collaboration as a critical value to ensure effective teamwork and adoption of best practices;* Seek out opportunities to innovate and improve upon conventional practices and procedures;* Take personal responsibility for executing key projects and developing relationships; and* Operate with a sense of mission and purpose.
Primary Responsibilities and Duties
* Provide sophisticated calendar management for the VP. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements* Act as a liaison and provide support to the leadership across UNCF.* Arrange and handle all logistics for critical VP-related meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minute, where appropriate, for the VP* Complete a broad variety of administrative tasks that facilitate the VP's ability to effectively lead the ICB team, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.* Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the VP, including those of a highly confidential or critical nature.* Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect VP's style and organization priorities* Work closely with the VP to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "gauge," having a sense for the issues taking place in the environment and keeping the VP updated. Anticipate VP's needs in advance of meetings, conferences, etc.* Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the VP and staff, demonstrating leadership to maintain credibility, trust, and support with the UNCF Executive Team.* Invest in building long-lasting relationships both externally and internally.* Other projects/duties as assigned for the overall benefit of the organization.
Qualifications
Education and/or Experience:
High School diploma required, Bachelor's degree from a four-year College or university preferred. At least 5 years' of administrative assistant experience.
Other Skills and Abilities:
* Strong ability to execute work with a diversity, equity, and inclusion lens.* Significant executive support experience, including supporting senior level executives.* Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.* Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications).* Strong verbal and written communication skills.* Exceptional organizational skills and impeccable attention to detail.* High degree of professionalism in dealing with diverse stakeholder groups, including college presidents, senior executives, staff, community leaders, donors, and funded partners.* Make appropriate, informed decisions regarding priorities and available time.* Ability to complete a high volume of tasks and projects with little or no guidance.* Ability to react with appropriate levels of urgency to situations and events that require quick response or* turnaround.* Able to maintain a high level of integrity and discretion in handling confidential information.* Excellent judgment is essential.* Ability to be agile and switch gears at a moment's notice.* Experience maintaining calendars and booking travel.* Commitment to education.* The individual must be a self-starter, who is able to problem-solve and take on a wide range of tasks to deliver results; collegial and professional manner; excellent communication and interpersonal skills.
