Description:
The Business/Administrative Associate II works with the Executive Director, Chancellor/Provost Business Services Center (BSC) to provide financial and HR flex support within the BSC. The role also provides administrative support for the implementation and transition of systems and processes related to the BSC.
Duties & Responsibilities:
Financial activitiesReconcile budget to actual and provide statements.Extrapolate, analyze, and leverage financial data from university systems to generate reports.Support financial transactional needs of units (Chrome River transactions, iBuy, etc.) including travel; miscellaneous reimbursements; procurement card purchases; validate correct invoices prior to authorization of payment; journal vouchers; etc.Process purchases, obtain quotes for goods and services; and contracts.Maintain and provide historical context on budgets for initiatives, projects, etc.Stay informed of OBFS policy and changes to act as a resource for units.Helps resolve financial, policy & procedural problems while ensuring compliance with state and university regulations.Assist with annual Fiscal Control & Internal Auditing Act (FCIAA) certification and verification.Maintain electronic fiscal records and office filing system.
Human Resources activitiesAssist with the recruitment process for all employment classes for open positions including job description processing; requesting of hiring approval; advertising; drafting offer letters; and background check processing.Serve as an HR generalist, providing general expertise to stakeholders; continue to stay abreast of new campus policies and procedures and communicate.Initiate and process HR transactions and route to appropriate offices including: HRFE transactions; JDX submissions; Cornerstone entries; overcompensation requests; retire/rehire requests; form I-9; payroll adjustments (PARIS, ANA); FMLA and other leave processing; and other routine HR transactions via the University's HR systems.
Administrative functionsAssist branches of BSC during peak processing times.Assist with implementation and transition of systems and processes.Distribute finalized memorandums of understanding.Perform property accounting.Supply ordering and management.Perform other related duties and work on special projects as assigned.
Minimum Qualifications
Bachelor's degree in business administration, management, or a field related to the position.Five years of professional business, financial, and/or managerial work experience.(NOTE: A Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
Preferred Qualifications
Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.Familiarity with the organization, structure, function, and policies of the University of Illinois, especially fund accounting and policies.Experience with business intelligence tools and Banner.Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership techniques, production methods, and coordination of people and resources.Strong analytical skills. Ability to organize data logically, including graphical representation. Ability to work with financial data and produce accurate results.Excellent interpersonal, written, and oral communication skills.Solid organizational skills. Must be able to handle multiple projects simultaneously and consistently meet deadlines.Ability to further learn Banner and other UIC used administrative systems including Business Objects (EDDIE/Web Intelligence), iBuy, Budget Development, Chrome River, etc.Ability to establish and maintain effective working relationships. Able to work individually or as a team member and share information accordingly.Ability to analyze and develop guidelines, procedures and systems to outline specific goals and implement plans to prioritize, organize, and accomplish tasks.Master's in business administration, management, accounting or a field related to the position.Ability to handle confidential and sensitive information appropriately.Knowledge of university and campus polices as they relate to hiring, I-9s, international work regulations, complex academic appointments, and other general employment activities to ensure that all related guidelines and procedures are administered appropriately and accurately.
