Epic Release Coordinator

This is a remote, work from home opportunity and you may be based outside of the greater Chicagoland area.

Under direct supervision, the Epic Release Coordinator will direct the work related to Epic upgrades, change management, and provider record maintenance. Continuously assess business and user needs to identify and implement improvements in processes and procedures within areas of ownership. Collaborate with IT analysts, IT leadership, and operational counterparts. A successful candidate will have the following characteristics:

Expertise in Epic upgrades, change management, Epic environment strategy, and SER record maintenance.

Strong interpersonal, written and oral communication skills, and effective presentation skills. Excellent negotiation and prioritization capabilities.

Ability to maintain a professional attitude and demeanor in both normal and pressure situations.

Essential Job Functions

Maintain the overall Epic upgrade schedule and project plan.

Organize and lead impact assessment sessions and upgrade Nova Note review meetings with IT and operational stakeholders.

Manage all application, integrated, and user acceptance testing for Epic upgrades, refreshes, downtimes, and SU installations.

Ensure analyst teams coordinate with training team to develop tip sheets, eLearning, and in class material for updates to Epic functionality.

Communicate project status to IT and operational leadership in a clear and concise format. Lead the communication to IT, operational leaders, and Epic around timelines and downtimes.

Develop and document standard and repeatable processes that enable the successful delivery of Epic upgrades, refreshes, downtimes, and SU installations.

Develop and document standard and repeatable processes that enable the successful delivery of Epic changes, including but not limited to regular support and projects.

Maintain overall Epic migration strategy, processes, and toolsets (including the Content Management and Data Courier modules in Epic).

Moderate Epic change control meetings.

Create an Epic environment refresh strategy and schedule. Ensure the refresh plan is executed with a high degree of quality and minimal disruption to our business stakeholders and technical teams.

Coordinate strategy, standards, and ownership of maintenance for the SER master file in Epic.

Make decisions about who can access and maintain SER records. Maintain documentation for standards and ownership of SER maintenance.

Create and maintain procedures for the build of new SER records, changes to existing SER records, and deactivation of SER records for caregivers who leave the organization.

Coordinate with operational teams to address appropriate SER record maintenance reports.

Required Qualifications

Bachelor’s degree, or equivalent relevant certification in healthcare, business management, or information systems

Epic certification in any module

Five years of experience in Epic

Ability to work independently and manage multiple task assignments

Expert understanding of Epic functionality, releases, and processes required for high quality, on-time delivery of regular releases

Expert Project Management skills including defining scope, timelines, and resource management

Excellent negotiation skills to work with the business, functional, and technical teams

Strong interpersonal, written, and oral communication skills and effective presentation skills

Ability to lead cross-functional teams in a heavily matrixed environment; plan the work, monitor progress, and drive consistency in process

Preferred Qualifications

Experience working with ServiceNow Incident Management and Project Management tools

Epic certification in Data Courier Administration

Epic badge in Provider Administration
