The Office of External Affairs is responsible for influencing public policy and opinion; communicating the University’s priorities, challenges and achievements; and strengthening the University’s reputation and public perception. Units include the offices responsible for government and community relations at the federal, state, regional and tribal levels, Spokane/Eastern Washington relations, television production and radio as well as executive and administrative staff. The government relations units advocate for the UW’s priorities, provide advice on legislative strategy, build and maintain relationships and raise awareness of emerging issues and opportunities. The Office of External Affairs also engages in vigorous outreach and engagement by hosting elected officials, staff and other key business and civic stakeholders on campus and at other UW locations throughout the state.

The Office of Spokane and Eastern Washington Relations advocates for growth of medical, physician assistant and dental education and works to attract students from the eastern part of the state to the University of Washington. The UW Spokane Center in downtown Spokane is a bustling hub of activity for the community, alumni and students. We are active in advocating for the growth of our medical, physician assistant and dental education and are supporting the programs as they thrive. Our team is focused on attracting students from through eastern Washington to the University of Washington, working with alumni throughout the region and establishing a presence for innovation through CoMotion here in Spokane.

Operations Specialist

Duties & Responsibilities:

Community Relations / Event Management (50%)

-Work in partnership with event sponsors to manage events at the UW Spokane site related to the engagement of students, faculty, staff, donors, alumni, business leaders, legislators, and community leaders. -Responsible for oversight and management of all logistics including guest list development, selecting menus, coordinating decor and event layout, contacting external vendors, and managing AV and IT needs. -Oversee and execute all events on date. -Create and implement events at the UW Spokane Center. -Be involved with Director to represent the UW in the community. -Attend functions and meetings with legislators, business leaders, educational leaders and understand the many interests of the UW in Eastern Washington. -Work and communicate with UW staff within External Affairs, UWSOM, UWSOM Spokane, MEDEX, UW Alumni association and UMAC staff. Work with Marketing for campaigns in area. -Run all social media communications for External Affairs in Spokane. Staff UW officials visiting the area. -Support Director of Spokane and Eastern Washington Relations. -Special projects as assigned.

Facility and Operation Management (50%)

-Oversee and execute all day-to-day operations of the UW Spokane Center. -Manage the UW Spokane Center for uses related to community relations, government relations, student recruitment, teaching/ learning, and alumni/ donor engagement Manage external vendor contracts and ensure contract fulfillment. -Represent the UW in all interactions with visitors to the UW facility, provide excellent customer service and facilitate positive engagement with the University. -Manage interactions with the facility landlord/ building management company to coordinate daily facility needs, including janitorial, maintenance, IT, etc. -Manage UW Spokane Center Social media accounts. -Help procure UW-branded products for community events.

Requirements include:

Bachelor's degree AND 2 years of relevant experience to include experience in event management, community relations, customer service or equivalent.

Ability to convey information about the University to visitors and direct them to appropriate resources.

Proficiency using PC computers including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, and forms.

Understanding and ability to use social media applications.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
