Position Overview:
As a Document Control Specialist at Columbia Energy, you will be responsible for the organization, management, and control of project documents and records, ensuring compliance with federal regulations, contractual obligations, and NQA-1 standards where applicable. You will work closely with teams across engineering, fabrication, and quality assurance, supporting documentation processes from project initiation through completion. In this role, you will maintain accurate and accessible records, ensuring all required documentation meets regulatory, safety, and quality standards.
This role requires both independent work and collaboration across departments to ensure document control processes align with our commitment to quality, safety, and customer satisfaction.
Key Responsibilities:
Manage document control processes to ensure compliance with Department of Energy (DOE) directives, NQA-1 standards, and internal guidelines.Collaborate with project teams to ensure document control workflows align with quality assurance standards and regulatory requirements.Assist in the planning, execution, and reporting of quality assurance activities to ensure project success. Perform audits and quality checks on records management practices to ensure compliance and proper documentation throughout the project lifecycle.Oversee the distribution, revision, and archiving of project documents, ensuring accuracy and compliance with NQA-1 and other regulatory guidelines.Support the development and delivery of comprehensive documentation packages to clients, ensuring all records are complete and compliant.Assist with change control processes, tracking document revisions and approvals in line with established project procedures.Maintain clear and consistent communication with internal teams and external stakeholders to support the success of project documentation and records management.Provide training and guidance to team members on document control processes to ensure consistency and adherence to standards.Minimum Qualifications:
Education and Experience:
High school diploma with 2+ years of relevant experience, or an associate degree with 1+ years of experience in document control or records management.Familiarity with NQA-1 standards or experience in a regulated environment is a plus.Skills and Abilities:
Strong attention to detail with the ability to manage large volumes of documentation across multiple projects.Proficiency in document control systems and software, with knowledge of records management lifecycle processes.Ability to collaborate effectively with internal teams and external stakeholders, ensuring a customer-centric approach.Strong organizational and communication skills to manage priorities and meet deadlines.Ability to participate in change control processes and support quality assurance initiatives where document management is critical.
