Staff and Event Management:Lead and direct the Admissions staff in daily operations and special events such as Interview Days and other recruitment activities.Set performance goals, conduct staff evaluations, and foster a collaborative, mission-driven team environment.Advance professional development opportunities for team members.Oversee the planning and execution of admissions-related events to ensure a positive experience for all participants.Admissions Selection Committee (ASC) Oversight:Oversee the scheduling, preparation, and facilitation of all Admissions Selection Committee (ASC) meetings, ensuring efficient operations and effective discussions.Assure of evaluation criteria and processes that ensure candidates are assessed fairly and consistently, based on attributes aligned with Dell Medical Schools institutional mission and goals.Ensure that committee deliberations are conducted in compliance with policies and regulations, and that decisions are made with transparency and integrity.Monitor Continuous Quality Improvement efforts are in place and occurring as conceived. Report results to the Assistant dean and the ASC.Policy Development and Compliance:Implement admissions policies and procedures.Ensure compliance with institutional policies as well as state, federal, and accreditation regulations.Training and Documentation:Ensure that all individuals involved in the selection process receive the appropriate training for their specific roles.Update all training and supplemental materials provided to participants in the selection process on an annual basis.Oversee and monitor the recusal processes of the Admissions Selection Committee (ASC).Communications and Outreach:Manage all communications with applicants, including recruiting publications, email correspondence, and in-person meetings.Oversee communications with potential applicants, accepted students, those denied admission, and those on the waitlist.Represent the school at recruitment activities and events, ensuring a consistent and compelling message is delivered.Collaboration with External Partners:Actively engage with the Texas Medical Dental School Application Service (TMDSAS), the Joint Admissions Medical Program (JAMP), and the Office of Graduate Admissions (GIAC) to ensure seamless processing and sharing of applicant information.Collaborate closely with undergraduate health professions advisors across the state to keep them informed about Dell Medical Schools admissions requirements and the desired attributes of successful applicants.Systems Administration, Data Analysis, and Reporting:Maintain a strong relationship with the admissions software vendor to ensure that the system and workflows accurately support the admissions process. Ensure that all published content complies with legal and regulatory requirements.CRM Software Support: Manage and maintain the admissions CRM software, ensuring it effectively supports recruitment, communication, and admissions processes. Provide troubleshooting assistance and coordinate with the vendor to resolve any system issues or updates.Perform technical and statistical analyses of admissions data to guide decision-making and improve recruitment strategies.Prepare reports and data presentations for leadership, offering insights into admissions trends and outcomes.Other related duties as assigned.
