PRIMARY FUNCTIONS:
The Medical Office Manager's primary responsibility is to oversee and support the clinic operations and work closely with the Chief Operating Officer and other Neighborhood Health staff to ensure that high quality care is provided to our patient population.

DUTIES/ RESPONSIBILITIES:

Duties and responsibilities noted with bullets are considered to be the essential functions of the job).In partnership with site Nurse Coordinator, oversees day-to-day operations at designated clinical site in accordance with Neighborhood Health policies and procedures.Directly supervises front desk staff including orientation, training, and performance management.Responsible for coordinating maintenance of assigned facility.Maintains a clean, safe, and compliant work environment according to all federal, state, and local laws and regulations including OSHA, HIPPA, and Joint Commission.Serves as an initial contact for addressing patient grievances and demonstrates sensitivity to patient feedback to improve patient satisfaction.Responsible for oversight of maintenance of medical equipment on site.Responsible for oversight of emergency management procedures and drills at designated site.Responsible for the implementation and enforcement of Neighborhood Health policies and procedures including HIPPA, facility operations, OSHA as pertains to the environment of care.Responsible for managing provider schedules and coordinating provider leave and sick call outs.Manages paid time off and leave for clinic staff.Responsible for ensuring adequate staffing and that attendance and work hours are accurately recorded in time keeping system.Responsible for coordinating newborn infant visit schedules with hospital staff.Works with Chief Operating Officer and clinical directors to ensure providers schedules are filled so that productivity goals can be met.Responsible for handling billing and claim issues related to the site and coordinating billing with CCNV CBO.Acts as site's point of contact for LabCorp.Serve as a point of contact with vendors operating at site.Acts as a point of contact for IT problems on site and as a liaison between employees and IT department.Responsible for managing inventory and overseeing the ordering of office supplies.Participates in quality improvement program.Work with Chief Operating Officer in providing regular staff training and updates to site staff.Provides coverage when necessary for front desk needs and provides assistance to call center when call volumes are high.QUALIFICATION/EDUCATION and/or EXPERIENCE REQUIREMENTS:
Knowledge and experience with managing schedules and provider templatesKnowledge and experience managing billing issues including insurance, and claimsExperience within primary care environment, preferably with Federally Qualified Health CenterFamiliarity with medical office operations and policies and proceduresAbility to demonstrate commitment to the mission of Neighborhood HealthUpholds the highest ethical standards in work with patients, staff, and othersStrong interpersonal communication skillsAbility to work effectively with a diverse work forceAbility to work effectively with diverse and low income patient populationEmployee development and performance management skillsExperience with information technology, electronic health records, medical recordsKnowledge of local health care environment and capacity to develop partnerships with community partnersFluency in Spanish a plus.
