Operations Coordinator, Student Health and Wellness

The University of Virginia's Department of Student Health and Wellness (SHW) seeks a highly motivated professional to join its dynamic team. The Operations Coordinator will function as part of a larger department-wide Administrative team encompassing functional areas for Finance, Human Resources, Facilities, Information Technology, Medical Records, and Insurance/Billing. The Operations Coordinator will work within a broad range of responsibilities requiring a high degree of professionalism, collaboration, initiative, attention to detail and discretion in handling confidential and sensitive information. Areas of support include administrative, human resources, Workday transactions, and general business operations associated with a nationally accredited student health facility. This position requires experience in administrative and business operations background, preferably in a health care setting. The Operations Coordinator reports to the Assistant Director of Operations and works closely with the Business Manager, as well as other team members across the department.

The primary area of focus includes:

Work done independentlyCollaborate across departments as needed to define and identify scope and objectives.Assist with task tracking.Organize department initiatives into doable actions with set time limits.Observing, reviewing, and analyzing processes to identify inefficiencies and areas where improvements could be made.Work with various departments to assess and implement operational systems.Perform a variety of professional and operational duties that facilitate the day-to-day operations of the department. Ensure office operations function in a professional and predictable manner.Proficiently leverage Workday software to efficiently complete tasks, streamline workflows, and generate reports, ensuring accurate and timely information for informed decision-making.Work done with guidance

Assist the Assistant Director of Operations with the creation and maintenance of various process and procedure documentation on an ongoing basis.Provide overall Administrative team support by assisting with other projects to ensure effective team management.Designing and maintaining clear operational guides to ensure consistency of operations.Perform general administrative tasks.Function as a back-up point of contact for and consistently communicate with participants.Participate in other special projects and initiatives as assigned.Work collaboratively with other functional areas under the guidance of the Assistant Director of Operations as needed during peak seasons.In addition to the above job responsibilities, other duties may be assigned.Other General Duties

Maintain electronic documents in a systematic, organized manner for retention and retrieval, with appropriate confidentiality.Aid or take the lead on various assignments required of our operation such as records management, human resources, business system and process conversions, etc.Minimum Requirements

Education: Bachelor's degreeExperience: At least three years of experience. Relevant experience may be considered in lieu of a degree.

Experience in a healthcare setting related to project management and coordination.Strong work ethic with an appreciation for deadlines.Resourceful and collaborative: able to communicate with key stakeholders.Ability to build trust with colleagues.Ability to independently research topics pertaining to operational area.Excellent oral and written communication skills.Strong commitment to the department's core values.Proficient in Excel and Smartsheet.Ability to independently interpret information and apply it to daily work.Ability to adapt quickly to a multi-faceted and evolving work environment.Employment Type

This is a nonexempt level, benefited position at 40 hours per week. Employees benefits package highlights include:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
