Job Summary
:
SEACORP's Business Development Business Area is currently seeking a Proposal Specialist. The Proposal Specialist will draw ontheir office management experience to drive the administrative process in theplanning and development of high-quality proposals, responses to Request forProposals (RFP), Requests for Information (RFI), Sources Sought Responses,Enhanced White Papers, marketing materials, all under very tight deadlines. Assume additional responsibility to ensurecompany brand presence is kept current and positioned to have the maximumimpact across a wide variety of mediums including web, print and events.
Job Responsibilities Include:
In Support of Proposal Managers:
Coordinate and schedule proposal team meetings, support set up of Collaboration Sites or File Server Sites, create and manage proposal templates, and quality check final proposals.Create and manage production checklists and lead the final production of proposal deliverables.Manage the Enterprise Opportunity Management tools such as Deltek Vantagepoint.Provide support for all proposal artifacts and documents including templates, resumes, outlines, assignment lists, matrices, etc.Research, collect and compile information for Proposal Managers.Work with Proposal Managers to review preliminary proposal schedule, production, and delivery plans.Assist Proposal Managers with setting up, organizing, and facilitating necessary proposal team meetings and calls.Create and manage proposal documents including Word documents, Excel spreadsheets, and PowerPoint presentations.Provide quality review of proposal artifacts including formatting look and feel, general editing for grammar and spelling, figure and table numbering, acronyms, etc.Implement proposal best practices on every proposal effort undertaken.Parse submitted proposals on File Server Sites and maintain a graphics log.Coordinate with Graphics Designer to manage proposal graphics, facilitate meetings between Graphics Designer and subject matter expert, and perform quality control of graphics.Manage access to documents through SharePoint/Teams.Take meeting notes including key topics, attendees, and action items.Serve as the primary Business Development interface with Other Transaction Authority (OTA) Portals (ATI, C5, etc.).Support Proposal Managers in other ad hoc tasks.In support of Capture Managers:
Support Capture Managers in early capture activities, including Non-disclosure Agreements / Teaming agreements.Develop staffing solutions for specific opportunities.Develop Management Plan solutions for specific opportunities.In support of general Business Development (BD) activities:
Manage sponsorships, memberships, and events for the BD budget.Manage registration of attendees for events, including submitting EVARs and coordinating travel (if needed).Manage the BD Executive calendar.Responsible for acquiring BD items such as marketing materials.Manage the brand and content of the Corporate website.Support company initiatives such as the Quality Management System, company events, etc.Qualifications:
Education:
A bachelor's degree or equivalent (business or STEM-related field) is preferred.
Experience
:
Experience: 3years' experience, preferably in similar role focused on proposal development.
