Function as a member on a team of dedicated talent agents to facilitate the efficient processing of district personnel for the Human Resources Department. Receives, processes, and maintains files and records for applicants, and employees of the district. Organize and manage the routine work activities of the department and provide clerical assistance to department staff.
Qualifications:
Education/Certification:High school diploma or GEDValid Texas driver's license with driving record that meets District requirementsSpecial Knowledge/Skills:
Must be customer service orientedProficient keyboarding, word processing, and file maintenance skillsEffective communication and interpersonal skillsAbility to use personal computer and software to develop spreadsheets, databases, and word processingKnowledge of basic accounting principlesExcellent organizational skillsExperience:
Three years HR clerical experience preferably in public education environment.Major Responsibilities and Duties:
1. Responsible for onboarding new professional, paraprofessional, and auxiliary staff, including but not limited to, recommendation retrieval, file set-up, receipt of all new hire paperwork, driver's license and social security verification, CH check, physicals, etc. Enter and update employee information in central database.
2. Responsible for processing employee information regarding criminal history/fingerprinting procedures (to include, collection of data, upload to State agencies, scheduling and tracking).
3. Responsible for receiving and processing employee I-9 forms, including verification that all information is complete and correct, and maintaining all employee I-9 files in an effective and efficient manner.
4. Assist with maintaining physical and computerized departmental files and assist with monitoring/tracking employee paperwork (i.e. transcripts, service records, etc.)
5. Process teacher applications and verify certification with the Texas State Board of Educator Certification (SBEC), universities, colleges, and education agencies in other states.
6. Assist principals and Human Resources Coordinator in identifying appropriate certification requirements for teacher assignment according to SBEC assignment criteria.
7. Track certification, testing, and permit status and follow-up with employees to ensure completion of certification requirements within established timelines. Process SBEC permit applications and monitor permit status.
8. Research and maintain current information on SBEC and Every Student Succeeds Act (ESSA) rules, certification requirements and processes, and testing dates.
9. Compile, maintain, and file all reports, records, and other documents as required including maintaining a database of certification and licensing information for certified or licensed professionals, paraprofessionals, and auxiliary employees, and preparation of various federal, state, and local reports.
10. Maintain files for employees and applicants, including receiving and routing of changes (e.g., name and address changes). Coordinates with technology regarding updates of district emails.
11. Assist with the preparation and distribution of employment contracts, reasonable assurance and renewal letters to employees.
12. Assist with the processing of position management forms through personnel, benefits, and payroll. Assist with the tracking of district employee vacancies and reconciling with Position Management reports.
13. Handle routine HR inquiries to ensure a high level of service, and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate.
14. Assist with the collection, maintenance, and preparation of reports for collection of statistical data relative to Human Resources.
15. Prepare and post job vacancy announcements and advertisements.
16. Assist in planning and coordination of employee recognition events and service award ceremonies.
17. Assist with covering front desk, including but not limited to, answering incoming calls, taking messages, routing to appropriate staff and greeting all guests.
18. Assist with attending job fairs as needed.
19. Maintains confidentiality of information.
20. All other duties as assigned.
