As an Executive Assistant you will provide essential support and work under general direction from the SES officer.The role will require you to be on the forefront of day-to-day operations, exercise discretion and provide administrative support.As a Band 3 Executive Assistant you will provide support to Managers and Commanders (SES Band 1).The Band 4 Executive Assistant role provides support to National Managers and Assistant Commissioners (SES Band 2).These roles are fast paced with rigid timelines and require management of the office environment and prioritising the workflow. To succeed in this role you will have great people skills, the ability to anticipate the needs of senior executives and demonstrate flexibility, resilience and initiative.You will also be required to contribute to the achievement of outcomes in accordance with the regulatory framework, the AFP Code of Conduct and the AFP Governance Instruments.What will you do?Your responsibilities include, but are not limited to:Providing high level support to your SES.Organising and prioritising workflow for the SES.Performing a range of office management activities, including but not limited to; the coordination and facilitation of visits from external members, arranging travel, organising meetings, and acting as a liaison point for the wider management team.Preparing routine or moderately complex correspondence, minute taking, photocopying/scanning and filing, and coordinating of responses to ministerial and parliamentary requests via the Parliamentary Document Management System (PDMS).Responding to enquiries and providing advice to a range of high-level clients, including AFP members.Maintaining effective working relationships and promoting a positive, professional image of the AFP to internal and external stakeholders.Ensuring adherence to corporate AFP policies, processes and systems.Managing the planning and scheduling of office events (including, visits from external stakeholders and whole of office functions), and overseeing the booking of suitable external locations, catering and invites.Providing support to the Executive Officer as required.Identifying methods to streamline processes and systems to improve efficiency within the Executive.Essential Requirements (Band 3 and Band 4)You must be an Australian Citizen at the time of application.A Negative Vetting 1 (Secret) security clearance or the ability to obtain one.Demonstrated experience providing high-level administrative support.Strong knowledge in Microsoft Office applications including Word, Excel, Outlook and PowerPoint.Highly developed attention to detail, organisational and time management skills and the ability to manage competing priorities.Demonstrated strong oral and written communication skills with both internal and external stakeholders.Demonstrated ability to autonomously manage a high workload.Essential Requirements (Band 4)Minimum 2+ years’ experience as an Executive Assistant.Demonstrated ability to show initiative in anticipating the needs of Executive members.Essential Requirements (Band 3)Minimum 2+ years’ experience providing administrative supportAdditional InformationThis position is an AFP Band Level 3 & 4Roles will be considered for these locations, ACT, NSW, QLD, SA, NT, VIC, WA.
