Founded in 1919, the Los Angeles Philharmonic Association presents, and promotes the performing arts in its varied forms at the highest level of excellence to a diverse and large audience, at Walt Disney Concert Hall, the Hollywood Bowl, The Ford, and YOLA.FLSA Status: Part-Time (29 hours per week), Non-ExemptSalary Range: $26 - $28 per hourPosition Summary:The Public Relations Coordinator will work closely with the Public Relations team, serving as a key liaison between the Los Angeles Philharmonic Association (LAPA) and media outlets. This role is instrumental in promoting LAPA’s events and activities, including the LA Phil’s Winter season at Walt Disney Concert Hall, the Summer seasons at the Hollywood Bowl and The Ford, the Beckmen YOLA Center, special series, tours, and internal initiatives. The coordinator will provide support to the department and assist with various tasks as required.Key Responsibilities:Media Monitoring & Reporting:
Track and document media coverage, both online and in print.Prepare and archive press clippings, creating special press clipping books for key projects and Board Meetings.
System & Document Management:
Oversee the internal SharePoint document system and Clark photo management system for the department.
Administrative Support:
Handle general office duties, such as maintaining files, processing PR invoices, and ensuring proper approval by the Director of Public Relations.Attend weekly departmental meetings and other meetings as assigned.Collaborate with artist representatives to maintain current artist information, including biographies and photographs.
Research & Writing Support:
Assist with the research and drafting of press releases, media alerts, and other PR materials.
Digital & Website Management:
Update the Press Section on LAPA’s websites.
Event Coordination:
Organize and manage logistics for photo and video shoots at all LAPA venues, as well as external media requests.Attend concerts as the LAPA representative to handle photography duties at various venues, including Walt Disney Concert Hall, Hollywood Bowl, The Ford, and Beckmen YOLA Center.Manage event logistics for galas, press conferences, receptions, and other special events.
Media Relations:
Build and maintain relationships with media professionals, ensuring efficient and professional communication.Assist with media ticket and parking accommodations as required.
Campaign Management:
Depending on experience and interest, manage individual press campaigns under supervision. This includes planning, pitching, and securing media placements in local, national, and occasionally international outlets.
Confidentiality:
Maintain confidentiality of sensitive institutional information.
Minimum Requirements:General music knowledge and a desire to work with musicians.Minimum of two years of experience in a PR agency, arts organization, or equivalent setting preferred.Bachelor’s degree or equivalent experience is a plus.Proficiency in Microsoft Office Suite and database systems such as Constant Contact.Strong communication skills, both written and verbal.Ability to work effectively in a fast-paced, collaborative environment with a focus on goals and deadlines.Excellent organizational skills, creativity, and attention to detail.Understanding of local and national media trends.Flexibility to work evenings and weekends as needed.Reliable transportation to travel between multiple LAPA locations.
