Position Summary
To perform a variety of secretarial/administrative duties for a physician(s) through extensive patient contact.
Essential Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
CLINICAL
Make patient appointments
Gather information from referring physician(s)
Get films printed and pick them up
Arrange and coordinate all preoperative appointments
Contact primary care physician and request necessary referrals for testing
Gather all results from preoperative appointments before surgery
Fax information to PASS unit
Schedule patients’ surgery
Pre-certify all surgical procedures
Send surgical orders to the PASS unit
Run physician(s) patient days
Gather all path reports and operative reports for post-op visits
Prepare charts and bills
Arrange transfer of patients from other hospitals (call admissions for bed, pre-certify, coordinate with other hospital)
Mail out all clinical correspondence for physician(s)
Other miscellaneous duties (medical records requests, etc.)
BILLING
Gather demographics on patients for billing (if done at other hospital)
Find all diagnosis codes for all surgical and office bills
Verify that all surgeries have been billed
Keep list of all surgical procedures and ICU billing performed by physician(s)
File all patient information
ADMINISTRATIVE
Complete applications for physician(s) to get privileges to other hospitals
Keep track of all medical licensure and expiration dates
Sort and open mail

Minimum Qualifications
Education
High school diploma or an equivalent combination of training and experience
Strong knowledge of medical terminology
Experience
A minimum of 3 years of secretarial in a healthcare environment
Prior experience working with patient records, billing, and scheduling in a clinical setting is required
Typing skills at a speed of 50 words per minute (wpm) or better are required.
Physical Requirements
Walk, bend, twist, and reach above the shoulder frequently in an office setting.
Must be able to occasionally lift or carry and frequently push or pull up to 20 lbs. as part of the role
Regularly exposed to healthcare settings that may require personal protective equipment
Requires manual dexterity to operate a computer keyboard, calculator, copier machine, and other equipment.
