Position Summary

Reporting to the Chief Executive Officer, the Executive Special Assistant supports the MFA Executive Office(s). This role independently evaluates requests and allows or denies access to the executive and provides extensive and effective management of the MFA Executive Office(s) calendar and appointments ensuring a clear purpose and strategic use of the MFA Executive Office(s) time.

Responsibilities

This position typically oversees and manages all aspects of event and meeting planning for the executive’s office, including but not limited to budgeting, planning, vendor negotiations, contracts, executive preparation and execution. This position assumes primary responsibility for preparation and dissemination of executive communications, developing presentations, and the tracking and monitoring of the organization's progress on key strategic initiatives.

This role also provides high-level advising on administrative matters to the MFA Executive Office(s) and other senior leadership, to include exercising strong judgment in scheduling and screening requests for meetings with the MFA Executive Office(s) and in handling day-to-day operational decisions while escalating as appropriate. This position serves as a liaison between the MFA Executive Office(s) and other departments within or outside MFA.

This position will draft letters, memos, minutes, documents, and other applicable MFA forms; seeks answers and solutions to inquiries utilizing independent judgment in preparing responses, assists in the preparation and maintenance of the MFA Emergency Management Action (Evacuation) Plan and the Continuity Operations Plan Documents. Assists in the preparation and reconciliation of budgetary accounts; maintains subsidiary reports and reconciles against actual expenditures; manages the preparation of invoices, deposits, etc.; and performs other budgetary-related duties, as necessary. Responsible for the research and approval of expense reports and the accurate maintenance of backup documentation. Provides general support and operational administrative guidance to staff, as necessary.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications

Education

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 5 years of relevant professional experience. Degree requirement may be substituted with an equivalent combination of education, training and experience.

Experience

Five or more years of relevant professional experience

About GW MFA

The GW Medical Faculty Associates (MFA) was incorporated in July 2000 as a not-for-profit, physician-led practice group. The organization functioned as an independent organization in support of The George Washington University School of Medicine and Sciences as a multi-specialty physician practice group. The GW MFA has grown to become the largest independent academic physician practice in the Washington, DC metro region with more than 500 physicians and nearly 200 APP providers. In 2018, the MFA bylaws were revised to allow The George Washington University to serve as the sole corporate member while the MFA retained independent 501c3 status. The purpose of the change was to ensure alignment between the MFA and The George Washington University.

MFA physicians provide comprehensive patient care, offering one practice for the whole person with 52 medical and surgical specialties. As members of the GW School of Medicine and Health Sciences faculty, MFA providers are teachers and mentors for medical students, residents, fellows, and researchers preserving the rich tradition of academics, research, and healing. In addition to maintaining a closely integrated alliance with The George Washington University and The George Washington University Hospital (GWUH) which is separately owned and operated by Universal Health Services (UHS), the GW MFA has active referring relationships with 12 area hospitals.

The GW MFA’s leading healthcare presence in the DC metro region is complemented by a network of community-based practices in DC, Maryland, and Virginia. Given its geographic location in central NW Washington, DC, and proximity to more than 175 resident embassies, the MFA continues to evolve its international clinical outreach.
