The purpose of this job is to work under the supervision of assigned attorneys to handle clerical, data entry, document creation & efiling, and mail processing. The position will maintain deadlines, schedule meetings, depositions, hearings, and all administrative tasks related to workers’ compensation cases. This role exists to support the delivery of high-quality legal services of several attorneys that handle a caseload of litigated matters.ESSENTIAL DUTIES AND RESPONSIBILITIES
Performs administrative functions for Workers’ Compensation cases:Creates new files in the Litigation Management System, including accurate data entry, uploading of file materials, and creation of database.Schedules and coordinates activities of the attorneys and hearing representatives such as deposition, court hearings, meetings, and other legal activities.Furnishes and requests information as needed to assist in completion of reports.Performs calendar, diary and setting of tasks of deadlines and milestones for each case and follow-up to ensure completion.Assists with management, organization, drafting and filing of documents:Drafts documents for review by attorneys, paralegals, and hearing representatives.Edits and proofreads documents for proper grammar, spelling, and content. Ensures legal documents contain all necessary portions and related documents for court acceptance.Prepares and e-files documents with the Workers’ Compensation Appeals Board (WCAB).Files and organizes all materials appropriately in the electronic litigation management system.Reviews incoming mail and correctly routes to appropriate individuals.Provides other litigation administrative duties:Creates invoices and submits same to claims department.Maintains accurate and complete database in the electronic litigation management system.Fosters internal and external client relationships with a customer-centric focus.Adheres to all ICW Group’s policies and procedures and the California Rules of Professional Conduct.Coordinates payment to vendors.SUPERVISORY RESPONSIBILITIES
This role does not have supervisory responsibilities.EDUCATION AND EXPERIENCE
High school diploma required. Minimum 2 years of experience in a law firm or claim environment required, or equivalent combination of education and experience. Workers’ Compensation experience preferred.CERTIFICATES, LICENSES, REGISTRATIONS
Successful completion of a legal secretarial program from a recognized community or business college preferred.KNOWLEDGE AND SKILLS
Proficient knowledge of California workers’ compensation procedure with prior litigation/legal administrative assistant experience handling various types of workers compensation cases. Understanding of workers’ compensation administrative rules and procedures. Proficient use of a personal computer and skills with Microsoft Word, Excel, Outlook, Adobe, PowerPoint, EAMS, Pacer, and commonly used software platforms. Knowledge and use of general office equipment such as scanners and copiers. Familiarity with business legal principles and billing practices and procedures. Demonstrated experience working independently under minimal supervision, maintaining a strong work ethic, and exercising initiative. Ability to communicate effectively with external and internal clients both verbally and in writing. Ability to read and understand legal materials. Ability to keep information organized and confidential. Ability to appropriately redirect inquiries, issues, or questions from internal and external clients, businesses, and members of the State Bar or Judiciary. Ability to effectively present information, verbally and in writing, including English usage, spelling, vocabulary, grammar, and punctuation. Ability to learn various proprietary computer applications. Strong organizational abilities, time management, and aptitude for learning new skills. Ability to prioritize multiple tasks and complete timely.PHYSICAL REQUIREMENTS
Office environment – no specific or unusual physical or environmental demands and employees are regularly required to sit, walk, stand, talk, and hear.WORK ENVIRONMENT
This position operates in an office and court environment and requires frequent use of a computer, telephone, copier, scanner, and other standard office equipment.The current range for this position is $24.68 - $38.91. This range is exclusive of fringe benefits and potential bonuses. If hired at ICW Group, your final base salary compensation will be determined by factors unique to each candidate, including experience, education and the location of the role and considers employees performing substantially similar work.WHY JOIN ICW GROUP?
