Nevada State University invites applications for the position of Administrative Assistant 4 to the Office of the President. Specifically, this position will provide high-level administrative support in the areas of government relations, presidential communications, office operations, committees, and special projects for the Chief of Staff and Strategy, Deputy Chief of Staff for Operations and Public Affairs, and the Senior Communications Officer. This position reports to the Deputy Chief of Staff for Operations and Public Affairs.The employee in this position will professionally represent the University to internal and external entities and manage the complexities and challenges that come with supporting senior- and executive-level administrators in a multifaceted, broad-reaching, and evolving school. The candidate must fully understand confidentiality as it relates to the supervisors to which the position reports. The candidate for this position must have excellent writing abilities, superior organizational skills, and acute attention to detail. The candidate must also be able to plan and complete projects or initiatives, communicate clearly and effectively, multitask, problem-solve, respond to inquiries and issues, work independently (but also know when to consult stakeholders), and collaborate with a large and varied internal and external audience. We foster a culture of inclusive excellence so our members can live authentically, fully engage, and flourish.Position Responsibilities:Provide clerical, administrative, and travel support to executive- and senior-level staff.Assist with contract administration.Draft various types of high-level correspondence.Receive, identify and resolve issues at the Administrative Assistant 4 level and, if necessary, determine the appropriate department or entity for resolution.Assist with projects and assignments.Assist with managing and coordinating the presidential communications workflow.Assist with state legislative administrative needs, including tracking the status of bill draft requests and progress of committee hearings and community meetings.Minimum Qualifications:Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant 3 in Nevada State service; OR an equivalent combination of education and experience as described above.Eligibility to work in the United States without sponsorship (Nevada State does not sponsor employment-related visas).Preferred Qualifications:Strong writing and information research skills.Proven ability to communicate (oral and written) using a high level of customer service to a broad and varied audience.High-level ability to problem-solve with keen organizational skills; ability to manage sensitive or confidential information.Excellent organizational interpersonal skills and ability to multitask.High level of attention to detail, ability to produce high-quality work with few errors.Experience drafting correspondence.Ability to work with Microsoft Office Word, Excel, PowerPoint and Outlook.Experience coordinating meetings and events.Access to reliable transportation, ability to maintain consistent hours as set by the supervisor.Experience supporting an executive or administrator.Significant experience with Microsoft Excel (intermediate to expert levels).Experience in a government or public affairs setting.Experience in a higher education setting.Experience with PeopleSoft or other student information systems and Workday.Salary & BenefitsBudgeted salary for this position is $50,153.76. Nevada State University offers excellent benefits, including a generous vacation & sick benefits, 12 paid holidays, educational benefits, a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts, and an excellent pension retirement plan through the Public Employees’ Retirement System of Nevada. The plan requires employees to withhold 17.5% of the budgeted salary toward retirement with an equal employer match of 17.5%.
