LeoLabs is transforming how military space commands, civil government agencies, and commercial satellite operators see, understand, and act on opportunities to protect and defend their assets in space.The OpportunityReporting directly to the CEO, the successful candidate will provide direct support to the CEO and the Executive Leadership Team by managing calendars, arranging travel, communicating effectively with key stakeholders, overseeing facility management, and collaborating with team members on essential administrative tasks. You bring strong organizational skills, a keen eye for detail, and exceptional prioritization and time-management capabilities. As a culture champion, you proactively look for ways to enhance team connections. Proficiency in Office 365 and Slack is essential. The ideal candidate is proactive, detail-oriented, and maintains discretion when handling confidential information. The successful candidate must be creative and enjoy working within a fast-paced, entrepreneurial environment. Further, the ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Discretion and the ability to handle confidential matters with aplomb are critical to success in this role. Experience in a startup environment is a plus.QualificationsBachelor’s degree requiredOver 5 years of relevant experience supporting C-level executives in a fast-paced settingAbility to communicate effectively, diplomatically, and in a responsive mannerProactive and driven, with the ability to anticipate the needs of the Executive, the team, and the office facilityProficient in Outlook (email, calendar, drive, etc.) and skilled in Slack and ZoomPossesses a positive, go-getter attitude, thriving in a dynamic startup environmentManage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the global operations of the companyExcellent attention to detail and strong organizational skillsOutstanding written and verbal communication abilitiesExercises sound judgment with a keen understanding of business urgency and prioritiesComfortable working in a growing company environmentTop Secret Clearance (T/S) preferredWithin 1 month, you’ll:Learn to work hand-in-hand with the ExecutiveGain an understanding about how your role fits into LeoLabs broader organizationBuild trust and relationships with our entire organizationProactively manage Executive calendar and schedules across different time zonesPlan and prepare information for meetings, presentations, interviews, etc. and ensure action items are done on time and completePrepare and file leadership expense reportsWithin 3 months, you’ll:Constant and effective communication with the ExecutiveBe actively involved with other groups to help as needed i.e. HR, Legal, APHelp plan and lead culture building activities such as offsites and employee engagementsAssist with other People Ops and Talent programming from supporting onboarding to scheduling interviewsIdentify processes that can be optimized and improve themHelp manage the Executives' inbox and respond to emailsWithin 6 months, you’ll:Manage Executives daily responsibilities and scheduleHelp the team in administrative tasks to accelerate team milestones and growthHelp scope and tackle special projects assigned by our ExecutivesWithin 12 months, you’ll:Grow into a business partner to the ExecutiveHave created processes and standards for office management(We do not work with outside staffing agencies)All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, or status as a protected veteran.ITAR REQUIREMENTSTo conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR) you must be eligible to obtain the required authorizations from the U.S. Department of State.
