Chief of Staff to the CEO : PlanITROI seeks a Chief of Staff to be our CEO’s right hand. The COS will provide proactive support to the CEO for business tasks, take notes and distill them into the next steps, follow up/through, conduct research, create PowerPoint decks, project management, program coordination, perform outreach, correspondence, scheduling, etc.

To perform successfully in this role, you will be a well-organized master juggler, and ask great questions to complete the task/project on time. The candidate must be highly proficient in the entire Microsoft Office Suite, and an expert in PowerPoint and Excel. You must have experience as a Chief of Staff supporting C-level executives with exceptional interpersonal skills.

Mission:

Provide proactive support to the CEO with preparing for acquisitions: This will include but not be limited to special projects, research, organization, and presentations. All while managing other projects, daily business tasks, responding to RFPs, reading and editing contracts, building PowerPoint decks, program coordination, outreach, scheduling meetings, and managing correspondence.

This role is remote in Eastern time only!

Primary Responsibilities:

Coordinate the CEO's professional activities by facilitating the smooth management of the CEO's business responsibilities, ensure the effective handling of the CEO’s professional schedule and commitments.

Acquisition Support:

Provide active support to the CEO in preparing for acquisitions, this includes research.

Manage CEO’s Brand:

Social media postings, likes, and comments.

Assist in managing CEO’s charities:

TechTuesday 501c3 and Digital Dreams Project.

Manage industry relationships:

owners, boards, meetings, speaking, blogs, etc.

Manage PlanITROI internal offsite events:

4 per year and town halls 4 per year, this requires travel.

Manage external events:

the CEO is engaged with approximately 7 per year, may require travel.

Daily scheduling of CEO’s:

appointments, meetings, and other activities.

Calendar/Planning:

Manage CEO’s interaction with PlanITROI 52-week calendar - looking around the corner to plan ahead.

Meetings/Note Taking & Follow-up:

Observe meetings not being attended by the CEO via watching recorded videos weekly with distilled clear notes and discuss key points with the CEO.

Transfer the CEO’s Institutional Knowledge:

into an SOP/Playbook within SharePoint and other tools by the end of 2025.

Coordination:

Agreements, RFPs, and highly complex correspondence.

Research:

find the Expert in whatever field we are researching, set up a meeting with that expert, and make recommendations.

Project Management:

Systems, tools, and apps for a foolproof method to manage multiple projects simultaneously.

PowerPoint:

Create, update, and manage PowerPoint Presentations as needed.

Qualifications:

Degree in Business Administration or alike.

3-5 years’ experience as Chief of Staff.

Acquisition experience preferred.

Advanced software skills in Microsoft Office: Word, Excel, PowerPoint.

Experience in Google Suite and SharePoint.

Calendar/Meeting management.

Contract management, editing, correspondence.

Experience in Brand Management/managing a CEO’s social media.

Industry Relationship builder/networking.

Advanced organizational and time management skills.

Advanced Project Management/research skills.

Deadline-driven, thrives in a fast-paced environment.

Problem-solving and decision-maker.

Experience and preference for working remotely, EST only.

Must have the ability to travel.

Must have high energy, a sense of urgency and high accountability.
