POSITION SUMMARY:
The Human Resources Specialist is responsible for HR administration at the facility, including payroll, new hire orientation, benefits, recruiting etc. The person holding this position is delegated the responsibility for carrying out the assigned duties and responsibilities in accordance with current existing federal and state regulations and established company policies and procedures.
ESSENTIAL JOB FUNCTIONS:
1. Responsible for payroll and time clock processing.
2. Answers incoming phone calls and greets facility visitors.
3. Conducts new hire orientation. Ensures all new hire paperwork is complete and submits to the Payroll Consultant. Prepares new hire packets.
4. Orients employees on benefit plans to ensure individuals have an understanding of benefit offerings and enrollment provisions. Counsel employees on plan specifications so that individuals can make informed benefits decisions. Processes required documents through Payroll and Benefits Consultants to ensure accurate record-keeping and proper benefit deductions, changes and terminations.
5. Verifies and maintains license certifications, criminal background checks, nurse aide registry checks and recertification.
6. Accepts payments and maintains petty cash.
7. Records current invoices, scans past due invoices and sends to Accounts Payable.
8. Maintains and tracks TB and Hep B compliance.
9. Maintains personnel files in compliance with applicable legal requirements.
10. Assists in hiring process by coordinating job postings, reviewing resumes, occasionally performs phone interviews, and ensures all staffing needs are met.
11. Maintains job applications and resumes in compliance with applicable legal requirements.
12. Administers and monitors all FMLA leave.
13. Maintains and tracks Affirmative Action data and in-service hours.
14. Notifies Work Comp Manager of employee injury. Sends all appropriate documentation with employee to Worker’s Compensation clinician or medical doctor for initial injury.
15. Maintains and manages all Worker’s Compensation claims, files, logs and reports.
16. Responsible for ordering and documentation of uniform distribution.
17. Ensures exit interview forms are complete, collection of keys and any payables due to the company are deducted from employee’s last pay.
18. Tracks evaluation process and notifies department managers of due dates.
19. Assists employees and supervisors with interpretation of HR policies and procedures.
20. Oversees and tracks all employee incentive programs.
21. Distributes funds to residents from RMFS accounts.
22. Attends departmental meetings, in-service educational opportunities.
23. Maintains confidentiality of all pertinent personnel information in accordance with company policies and procedures.
24. Works one weekend day per month.
25. Other related duties as assigned by Administrator/Director of Nursing.
