Job Summary
The Chief of Staff (COS) is a key role on Threads leadership team. The Chief of Staff reports to the CEO, interfacing with the executive team, managing business operations, and supporting strategic initiatives. The ideal candidate is a proven leader skilled in business operations and project management with exceptional attention to detail and critical thinking skills. They are self-directed, adaptable, and comfortable managing through change and ambiguity. They enjoy collaboratively solving complex problems, with a strong bias toward action and results. Additionally, they exercise exceptional discretion with confidential information.
As Chief of Staff, you will drive strategy and operational excellence via a diverse charter that includes: leading Threads Annual planning rhythm, recurring operational reviews, staff communications, and management processes. The Chief of Staff will provide insight and advice to the leadership team around operational excellence, headcount, resourcing, fiscal planning and participate in overall group strategy decisions. You have the ability to think strategically both globally and locally, and effectively develop key processes, procedures, and communications plans that facilitate business planning and execution. This position requires extensive cross-functional coordination at all levels, excellent written and verbal communication, a wide range of analytical capabilities, and the ability to build compelling internal presentations, public-facing content, and comprehensive business review materials.
Key Responsibilities
CEO Support
Provide support and assistance to the CEO to maintain Threads mission, vision, and values.
Act on behalf of the CEO to answer inquiries, address day-to-day operations, and evaluate department risk factors when making critical business decisions.
Anticipate needs and provide support to ensure the CEO is knowledgeable of current project progress and the removal of roadblocks.
Ensure the CEO involvement in decision making processes takes place at key times, where their input and authority are most needed.
Support the preparation of presentations and materials for board meetings, conferences, and organization-wide meetings.
Ensure the CEO is prepared for donor calls and events.
Organize and prioritize critical issues and required information for the CEO to facilitate efficient decision making.
Support the CEO in fostering a culture of high performance and continuous improvement.
In partnership with the Thread leadership team, develop and implement strategic plans to achieve the departments goals, and anticipate risks as the department fulfills its mission.
Work collaboratively with the Thread leadership team to set key performance indicators to measure and improve department performance. Identify areas of improvement across the organization and make actionable recommendations to improve service delivery to the CEO.
Ensure high levels of discretion and confidentiality at all times.
Strategic Planning and Execution
Collaborate with the leadership team to develop and execute strategic initiatives aligned with the company's objectives.
Monitor progress on projects, provide updates to the leadership team, and make recommendations for adjustments as needed.
In partnership with the Thread leadership team, develop and implement strategic plans to achieve Threads goals, and anticipate risks as the organization fulfills its mission.
Cross-Team Collaboration
Foster collaboration and communication across different departments to ensure alignment and efficient execution of company-wide initiatives.
Act as a liaison between the executive team and all lanes, streamlining communication and ensuring clarity of goals and expectations.
Work collaboratively with the Thread leadership team to set key performance indicators to measure and improve department performance. Identify areas of improvement across the organization and make actionable recommendations to improve service delivery to the CEO.
Operational Efficiency
Drive operational and administrative efficiencies within Thread.
Oversee and optimize internal processes to enhance operational efficiency.
Work closely with Lane Leads and Directors to identify areas for improvement and implement solutions to streamline workflows.
Facilitate and lead communication and relationships with community groups, policymakers, and other stakeholders.
Act as a point of contact for internal and external stakeholders on matters pertaining to Thread.
Prepare and review reports, presentations, and data analysis for internal and external stakeholders.
Data Analysis and Reporting
Analyze relevant data and metrics to provide insights that support decision-making and drive performance improvements.
Prepare regular reports for the executive team, highlighting key performance indicators and areas for attention.
Oversee performance metric analysis throughout the organization.
Project Management
Manage and oversee critical projects, ensuring they align with organizational objectives and are delivered on time.
Manage and coordinate special projects and initiatives as assigned by the executive team.
Drive effective board meetings, leadership meetings and virtual and face-to-face meetings with prioritized topics and agendas designed to support business goals and objectives.
Assume oversight and track progression for assigned lane projects and efforts.
Manage solicited requests for data, information, meetings.
Qualifications Education and Experience: or any equivalent combination of education, training, and experience which provides the required knowledge, skills, and abilities to perform the key responsibilities of the job.
Bachelor's degree
7 years of proven experience in a strategic and operational role within a mid-sized non-profit organization.
Excellent communication skills (oral, written, and presentation).
Proven experience partnering with a variety of stakeholders (internal and external) of varying levels of seniority.
Strong quantitative skills and attention to detail.
Ability to prioritize multiple time-sensitive workstreams.
Superior problem-solving, analytical, and decision-making skills.
Highly proficient with Google Suite and Salesforce or similar CRM.
Strong project management skills with a track record of successfully leading cross-functional initiatives.
High level of adaptability and ability to thrive in a fast-paced, dynamic environment.
