Senior Executive Assistant

to join the Administrative Services team supporting senior leaders within the Global Investment Solutions business unit.This role provides administrative support for executives while exercising confidentiality, tact, and diplomacy. Responsibilities include managing executive calendars, preparing materials for meetings, triaging communications, coordinating and optimizing executive travel plans, and enabling executives to be more productive with their time. This level makes decisions with minimal direction, and recommendations are typically accepted by executives.Responsibilities:Heavy management of complex calendars, prioritizing meetings and managing scheduling conflicts.Assists the executive with preparing for meetings, including preparing, obtaining, and distributing materials.Coordinates and/or assists with team meetings and event planning.Optimizes travel arrangements based on the executive's needs and preferences.Greets and assists planned guests and manages unannounced visitors.Prepares, updates, and organizes information for reports and presentations.Sorts, screens, and distributes incoming and outgoing mail.Assists in keeping the executive organized, including document retrieval and archiving.Solid knowledge of administrative procedures and software applications.Excellent organizational skills, time management skills, and attention to detail.Displays professionalism to maintain confidentiality and establish strong relationships.Strong ability to respond to challenging situations with diplomacy and tact.Competencies typically acquired through an associate’s degree (or equivalent) and 6 to 8 years of relevant administrative experience.Investments experience or background preferred.About UsThis position may have in-office requirements depending on candidate location.
