The Surgical Services Senior Project Manager serves a dual role focused on providing comprehensive 1) project management of major strategic initiatives and 2) high-level operational oversight for administrative and business management functions across the various areas of Surgical Services of both Brigham and Women’s Faulkner Hospital (BWFH) and Brigham Foxboro Ambulatory Surgery Center (FXB). This work will require a high level of autonomy, familiarity with Perioperative Services, and the ability to make recommendations for improvements and to advocate for priorities for both locations.
Under the direction of the Vice President, Director of Business Operations, and the Director of Community Operations, this position collaborates with surgical, nursing, anesthesia, support staff and administrative teams in these areas to ensure optimal patient access, internal and external customer experience, cost-effective management, and ongoing performance improvement initiatives. The Senior Project Manager will execute analyses, create dashboards, and organize data to guide decision making and support initiative implementation. This position will lead major projects and initiatives at BWFH and FXB related to the growth of new surgical capabilities, managing supply expenses, and improving key operational metrics.
Project Management
Leads Brigham-wide initiatives for cost reduction, operational improvement, and service line growth by partnering with the rest of the Brigham Perioperative Services Leadership team and local front line staff at each location.
Provides support for core Surgical Services administrative functions including patient access, growth, patient experience, revenue cycle, quality/safety/compliance, and the supply chain.
Develops management plan and priorities for capital equipment for BWFH and FXB perioperative services.
Directs and manages high priority projects on behalf of the Vice President, Director of Business Operations, and the Director of Community Operations at BWFH and FXB.
Develops presentations and reports out to stakeholders on key projects and initiatives.
Oversees comprehensive project management of strategic initiatives: Develops project work plans including identification of key stakeholders, deliverables, timelines and required resources for initiatives related (but not limited) to: service excellence, patient safety, clinical compliance, and operations management/improvement. Oversees operational and logistical aspects of projects, such as meeting schedules, agenda development, etc.; ensures project requirements are achieved in a timely fashion and within guidelines. Continuously assesses and makes effective recommendations to address barriers or obstacles to achieving project goals. Develops measurement and analytic strategies to monitor the outcomes of projects over time. Crafts messages, creates communications, and delivers presentations related to project plans/status. Leads and manages workgroups/committees charged with setting project direction.
Executes analyses, creates dashboards, and organizes data to guide decision-making and support initiative implementation: Structures and executes quantitative and qualitative analyses to guide decision making and determine project direction. Creates, maintains and improves dashboards and other data communication vehicles to advance Surgical Services’ reporting infrastructure. Develops measurements and organizes data to track compliance with initiatives. Develops and coordinates project evaluation to assess impact. Collects, organizes, and summarizes materials for presentations by the Senior Director of Surgical and Procedural Services, the Director of Perioperative Business Services, and the OR Nursing Director.
Establishes, maintains, and continually improves coordinated, effective communications for the respective Surgical Services stakeholders: Develops and disseminates written communications for a variety of audiences through multiple channels, including email updates, Microsoft Teams, etc. Creates and delivers concise, effective presentations and status updates to various audiences. Plays a lead role in meeting organization, including establishing agendas, coordinating presenters, and overseeing all logistical components of meeting planning.
Serves as the Surgical Services “Super User” for non-clinical Epic workflows and related systems. Participates in project/task force planning, meetings, implementation, and/or new releases of Epic. Forms a strong partnership with BH OpTime/Anesthesia Clinical Business Analysts (CBAs) as needed to drive the completion of projects.
Operational Management
For all areas of Surgical Services, ensures efficiency and productivity with respect to administrative functions and patient flow. Monitors accuracy of and makes recommendations for improvements/enhancements to registration, referral/authorizations, scheduling, and billing procedures and takes necessary action to implement these recommendations.
Oversees that daily charge posting is timely, accurate, and precise for all peri-procedural areas:
Posts patient charges daily.
Researches, corrects then posts implants and special items on patient billing that have errors on the charges.
Reconciles daily OR schedule with actual cases and cancellations.
Follow up on post operative data missing from surgical case with Director of Perioperative Business Services. Notifies Director of Perioperative Business Services or OR Clinical Leaders/OR Nursing Director of problem areas.
Researches and inputs charges for the special order items not in the Mass General Brigham Charge Master notifying BWFH Revenue Cycle.
Responsible for gathering data and reports on operational efficiencies, including but not limited to patient/procedure volume, no shows/cancellations, on-time starts, and asset utilization. Works with management to identify and measure workflow areas in need of improvement. Makes recommendations for improvements, and manages projects related to operational improvements.
Coordinates the on-boarding of visitors to the operating room and observation deck, ensuring adherence to all Joint Commission, Infection Control and Operating room policies and procedures. Works closely with respective host surgeon’s administrative office to efficiently and effectively complete required tasks.
General
Establishes effective and collaborative working relationships with members of the hospital community, clinical departments, administrative departments, hospital committees, and quality and safety staff across Mass General Brigham.
Facilitates readiness and preparation for all DPH, Joint Commission, and CMS site visits ensuring proactive compliance with regulations and standards.
Acts to represent the Surgical Services team on internal and external committees or task forces as needed.
Maintains patient confidentiality in accordance to hospital standards.
All other duties as assigned.

Minimum Requirements
Bachelor’s Degree required. Masters degree, or 3-5+ years of relevant work experience, preferred.
Experience in healthcare setting preferred, experience in healthcare operations/project management or performance improvement preferred.
Ability to manage multiple projects simultaneously to meet department objectives and deadlines consistently.
Strong organizational and interpersonal communication skills required.
Maintain confidentiality, demonstrate sensitivity and maturity, discretion in communications.
