The Opportunity

We are seeking a highly organized, proactive, and resourceful Executive Assistant / Personal Assistant to provide comprehensive support to our CEO. This role requires a forward-thinking individual who excels in managing both business and personal tasks, enabling the CEO to focus on strategic initiatives. The ideal candidate is an effective communicator, detail-oriented, and capable of handling confidential information with discretion.

How you'll make a difference day to day

Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.

Serve as the primary point of contact for internal and external communications on behalf of the CEO.

Coordinate complex travel itineraries, both domestic and international.

Assist with personal email management and drafting responses for the CEO when necessary.

Conduct research, prepare briefings, and compile data as needed for business and personal decision-making.

Handle confidential business and financial information with a high level of discretion.

Excellent project management and strong track record of execution.

Manage personal appointments, events, and travel arrangements for the CEO and their family.

Assist with personal errands, tasks, and projects as needed.

Oversee household management tasks, including communication with vendors, contractors, and service providers.

Handle personal finance tasks, such as expense tracking, budgeting, and bill payments when required.

This position will require onsite presence 5 days a week in our Coral Gables, FL office.

We’d love to hear from you if you have

Bachelor’s degree or equivalent experience preferred.

4+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives.

Experience working in a fast-paced, technology-driven environment.

Strong proficiency in Google Workspace.

Excellent written and verbal communication skills.

Outstanding organizational skills, attention to detail, and time management abilities.

Ability to prioritize and manage multiple tasks simultaneously.

Proven ability to handle sensitive information with discretion.

Experience managing complex schedules and travel logistics.
