The King County Executive Department is seeking qualified candidates for the position of Executive Assistant to support the Economic Development Director and Creative Economy Director in the Office of Economic Opportunity and Creative Economy (OEOCE). The ideal candidate will be an organized, efficient self-starter with a background in administrative support, a passion for public service, and an interest in economic development and creative economy.

ABOUT THE OFFICE:

OEOCE was established in 2023 via ordinance and its responsibilities include:

Coordinating the county's efforts to develop a strong equitable economy that creates opportunities for all residents;Developing and implementing strategies to promote economic revitalization and equitable development;Assisting communities and businesses in creating economic opportunities, promoting a diversified economy, and promoting family-wage job creation.

In addition to these responsibilities, OEOCE develops countywide strategies, aligns policy priorities, and unifies economic development work across executive branch departments. The office supports all key industry sectors and has an intentional focus on the creative economy, most notably film and music production. The vision of the Office of Economic Opportunity & Creative Economy is to build an anti-racist, equitable, resilient, and sustainable regional economy, where every person can thrive.

ABOUT THE ROLE:

The Executive Assistant is an essential role to support OEOCE’s co-directors and the growth of the office. OEOCE has a small team and a diverse portfolio of initiatives and programs, with team members serving multiple roles to advance goals.

OEOCE’s co-directors collaborate and coordinate with County agencies; local, state and federal agencies; partner organizations; community organizations; and others. They directly oversee various initiatives and advise the King County Executive on economic and workforce development policy.

This position reports to the Executive Department Office Administrator and serves as a part of the administrative team. The ideal candidate will be a self-starter and skilled communicator, who is organized, resourceful, responsive and excels at time management, scheduling, and working with a broad range of internal team members and external partners.

RESPONSIBILITIES:Manage schedules for co-directors. Occasionally provide temporary scheduling support for other team members as needed. Serve as the primary point-of-contact for co-director scheduling.Provide co-directors with background information and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, conferences, and interviews.Plan, develop, and provide logistical support on internal/external business meetings (including ability to provide technical support on telework meetings). Attend meetings and take notes as needed.Manage highly confidential and sensitive issues effectively, with discretion and integrity.Help facilitate an efficient flow of information between all levels of the organization on a wide spectrum of the organization’s plans and priorities.Develop and manage administrative systems for efficiency; organize files.Book travel for co-directors and manage expenses in Concur.Assist with P-card transactions and procurement issues as needed.Draft various email communications as needed.Provide project support as needed.Provide technology, HR, contracting, and budget support as needed.Support communications through copy editing of materials (website, newsletter, presentations, reports).Manage newsletter mailing lists.Perform other duties as assigned.

MINIMUM REQUIREMENTS:Working knowledge of office administrative practices.Proficient writer with considerable knowledge of punctuation, grammar, and sentence structure.Working knowledge of County and departmental correspondence standards.Knowledge of filing systems and the skills to maintain them.Calendar management and scheduling skills.Skill in maintaining a current knowledge of the office’s functions, goals, major projects and policies and procedures governing work performed.Skill in using word processing and computerized record-keeping systems.Skill in establishing and maintaining effective working relationships with co-workers, public and private sector officials, and the public.Skill in dealing with others using courtesy, tact, and good judgment.Skill in maintaining the confidentiality of all sensitive communications.Skill in the understanding and execution of complex oral and written instructions.Skill in working independently on assigned tasks with minimal or no guidance.

DESIRED EXPERIENCE, QUALIFICATIONS, KNOWLEDGE, SKILLS:Knowledgeable about CRM systems.Website content management skills.Basic graphic design skills.

WORK SCHEDULE:This position is nonexempt from the provisions of the Fair Labor Standards Act and is overtime eligible. The typical workweek is 40 hours per week, Monday – Friday. This position is not represented by a labor organization.
