The Waverly School seeks a part-time assistant to the Head of School and Board of Trustees. This person works directly with the Head of School and Board of Trustees to support the critical functions of the school. The ideal candidate is a well-organized self-starter, has a high level of interpersonal skills, discretion, and good judgment. The job requires excellent verbal and written communication skills and the ability to complete tasks independently and collaboratively while working with various constituents. This role requires a personable, flexible, and adaptable learner who is a motivated and collaborative team player. The successful candidate has experience as an executive assistant and is willing to engage in regular professional development to bolster their skillset. Prior experience in an academic environment is preferred though not required. This role will also require occasional work in the evening or on weekends.Candidates Must Demonstrate :Bachelor’s degree or equivalent, with 2 or more years of relevant administrative experienceStrong organization skills, including extraordinary attention to detail, and facility with technologyAbility to multi-task across multiple projects and manage shifting priorities to meet all deadlinesExcellent interpersonal skills including patience, discretion, a sense of humor, and good judgmentExcellent communication and follow-through skillsPreferred Qualities:Language skills in Spanish, Cantonese, Mandarin, or HindiExperience with Google Suite (mail, calendar, docs, etc.), Microsoft Office Suite, and work with databases.The Executive Assistant to the Head of School & Board of Trustees will:Embrace the school’s mission and vision.Provide general clerical duties and administrative support to the Head of School.Support the Head by anticipating needs, preparing the Head for the week as well as for meetings, events, speeches, travel, etc.Organize and review daily priorities for the Head of School’s appointments and calendar activities.Work with the Head of School to prioritize and pace meetings and events.Manage the Head of School’s travel arrangements.Publish letters as needed to families, alumni, and the Board from the Head of School.Assist in managing expenses for the Head of School’s budgets.Assist the Head of School with planning meetings and events related to the Board of Trustees or with tasks coming out of those meetings.Prepare and distribute meeting packets for board meetings; record and distribute meeting minutes; maintain Board records; update Trustee Handbook and policies; assist with new trustee orientation; create Board meeting calendars; schedule annual Board self-assessment surveys.Manage all arrangements and orders for faculty/staff meetings, gatherings, parties, and all-school employee events including new faculty and staff orientation, opening meetings, professional days, convocation, and graduation and other end-of-year events.Manage the all-school calendar and other scheduled events in collaboration with the Head of School.Serve the Head of School at administrative and Board meetings. Prepare documents and work orders, take minutes, and follow up on action items or other tasks as requested by the Head of School.Compile information as requested, formatting reports, graphs, tables, records, and presentations.Serve as administrative liaison for CAIS and NAIS.Assist with managing job searches - schedule calls, interviews, arrange travel if necessary, and write follow-up communications as appropriate.Complete occasional errands related to Head of School meetings and events.Manage substitute teacher scheduling in coordination with administrative assistants at each campus.Serve as administrative liaison for Emergency and Safety Committees.Perform other duties or projects as assigned by the Head of School.Communicate often about all of the above.Physical Demands and Abilities:Regularly spend long hours sitting and using office equipment and computers.Must be able to stand, lift, push, pull, stoop, and bend for short periods of time.Regularly work on repetitive tasks.Frequently bend to file and maintain files.Frequently walk up and down stairs and between school campuses.Occasionally lift 15-45 pounds.Ability to work in person, on campus.Employment background investigation required – fingerprints via Live Scan.Job Type:
