Position Overview:The Administrative Assistant to the Head of School is responsible for providing high-level administrative support to the Head of School while also assisting in the management of the admissions process functions. This position requires strong organizational, communication, and interpersonal skills to effectively coordinate a variety of tasks in a fast-paced, mission-driven Christian school environment. The ideal candidate will demonstrate a commitment to excellence, confidentiality, and exceptional service to both internal and external stakeholders.Key Responsibilities:Administrative Support to the Head of School:Provide high-level administrative support to the Head of School, including managing the Head's calendar, scheduling meetings, and prioritizing appointments.Prepare and review correspondence, reports, and documents as directed by the Head of School.Assist with the preparation of materials for meetings, events, and presentations, ensuring accurate and timely completion.Handle phone calls, emails, and inquiries on behalf of the Head of School, responding promptly and professionally.Coordinate travel arrangements, accommodations, and itineraries for the Head of School as needed.Maintain confidential files and records related to the Head of School's office and school matters.Collaborate with other school administrative staff to ensure smooth operations.Admissions Support:Assist with the overall admissions process, including greeting prospective families, answering inquiries, and providing information about the school's programs, culture, and mission.Maintain accurate records of applications, interviews, and admissions decisions.Assist in coordinating admissions events, tours, and open houses, ensuring a welcoming and informative experience for prospective families.Communicate with applicants and their families, providing regular updates and ensuring a seamless transition into the school community.Process application forms, registration, and student records in the school's database system.Help to ensure that all admissions and enrollment materials are complete and filed in accordance with school policies and procedures.General Office Duties:Handle routine office tasks such as filing, photocopying, and preparing documents for distribution.Manage the school's general email inbox, directing inquiries to the appropriate staff member.Maintain a professional and welcoming office environment for staff, students, and visitors.Assist in the coordination of school events, including chapel services, parent meetings, and community outreach activities.Perform other duties as assigned by the Head of School or school administration.Qualifications:Education:High school diploma required; Associate's degree or higher preferred.Experience:At least 2 years of administrative experience, preferably in a school or educational setting. Experience with admissions or registrar functions is a plus.Skills:Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.Familiarity with student information systems (SIS) and database management.Strong organizational and time management skills.Ability to multitask and manage competing priorities effectively.Excellent written and verbal communication skills.High level of discretion and the ability to handle sensitive and confidential information.Personal Qualities:Commitment to the mission and values of the school, including Christian principles and a desire to work in a faith-centered environment.Strong interpersonal skills with a positive and professional demeanor.Attention to detail and a passion for excellence in all tasks.Reporting Structure:Reports directly to the Head of School.Collaborates closely with the Admissions Department.Work Environment:Full-time, in-office position during regular school hours, with occasional evening or weekend responsibilities for school events or projects.
