Reporting to the Assistant Director, the School of Nursing HR and Payroll Services (SoN HRPS), the incumbent will work closely with their SoN HRPS colleagues to carry out the responsibilities of this position, including but not limited to:DUTIES AND RESPONSIBILITIES
OPERATIONS:Advise and consult with hiring managers at all levels in matters related to HR management: compensation; performance management; collective bargaining agreements; recruitment and retention; conflict resolution; and organizational structure.Process staff and student employee (ASE, student hourly) recruitments and hires as assigned, including permanent and temporary/project appointments. Provide consultation to hiring managers with job profiles, compensation review and job postings.Advise and consult with academic departments on academic, student and staff HR/AHR processes to ensure timely, accurate and compliant completion.Facilitate annual merit and performance evaluation processes for all faculty and staff.Work closely with SoN HRPS leaders on issues regarding confidential administrative and operational matters.Prepare and extend offer letters; draft confidential correspondence for SoN leaders.Serve as an approver for HR transactions and system authorizations.Participate in School-wide and campus-wide projects and committees and represent the School within the University on matters related to enhancing the development and diversity of the faculty, staff, and student employees of the SoN.Oversee and maintain the new faculty appointment process, including records management.Support the SoN Appointment, Promotion, and Tenure (APT) committee and other school and faculty leadership meetings as assigned.Support the Faculty Council as assigned, including maintaining expertise in Robert’s Rules of Order.Serve as a liaison with the School of Nursing and Graduate School on ASE issues.Provide guidance and oversight to Staff across the SoN that coordinate activities related to Auxiliary Faculty and ASE appointments, reappointment, and retention issues.Approve and initiate course payments for ASEs enrolled in fee-based (PCE) programs.Maintain ASE/AHR documentation, including the SharePoint/Intranet site.Develop and maintain hiring/appointment Checklists and Offer Letter templates.Provide support for the ladder-track Appointment, Promotion, and Tenure program.Assist managers with compensation change processes: which include interpreting requests for new or changed positions; classified and professional reclassifications; promotions and salary adjustments.Process faculty, staff and student appointment and compensation changes.Manage implementation and updating of HR and Payroll related content on the SoN Intranet; keep abreast of changes impacting SoN HRPS operations and, in collaboration with the SoN HR team, update online materials.Ensure that employees are added or removed from Workday as appropriate and resolve discrepancies.Name support contact and liaison for Employee Workday Help (EWH formerly ISC), AHR, UW HR and similar HR-related entities.Manage and/or establish new employee orientation processes and on-boarding activities.Conduct new hire orientation sessions and welcome experiences.EXPERT POLICY/PROCEDURE RESOURCE:Maintain in-depth and current knowledge of School, University, State and Federal policies and practices related to all HR matters.Understand and appropriately implement various UW AHR/HR policies and procedures.Serve as a resource for departments and units regarding AHR/HR approaches that support SoN’s commitment to diversity equity and inclusion and anti-racism.Serve as a consultant to search committee chairs and department chairs in faculty and staff recruitment as requested; assist search committee chairs in recruiting a diverse and highly qualified applicant pool.Research, Interpret and implement new/existing University and School policies and procedures for SoN administrators, department chairs and others as needed/requested.COMPLIANCE:Facilitate and maintain compliant HR processes for all categories of regular and auxiliary faculty, professional and classified staff.Develop and maintain compliant ASE standard appointment and reappointment templates.Serve as a UW/UAW ASE rules and compliance expert.Act as backup to the SoN liaison to the Director and Assistant Director of HRPS in dealings with UW Labor Relations, the Graduate School, and the UW/UAW regarding ASE.Assist with maintaining electronic filing system for HRPS documents.PROCESS IMPROVEMENT AND OTHER DUTIES AS ASSIGNED:Apply knowledge of the University of Washington and SoN to continually improve the efficiency and effectiveness of SoN HR and Payroll Services; furnish decision-makers with well-researched solutions to continual and non-recurring challenges facing the organization.Perform administrative duties, as needed, including but not limited to: responding to inquiries and phone calls, copying, filing, and other tasks as needed.Manage and coordinate various projects throughout the year as needed/assigned.Cross training on other SoN HR management responsibilities, as needed.MINIMUM REQUIREMENTSBachelor's degree in Human Resources Management, Business Administration, Communications, or related field; AND 2 to 3 years of related experience.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.ADDITIONAL REQUIREMENTSThorough knowledge of HR policies, procedures, principles, and practices, personnel and salary administration, recruitment techniques and management.Knowledge and experience with Workday, or similar HRIS/payroll system.Acquire and maintain knowledge and application of UW HR/AHR related policies and practices.Ability to handle confidential information with tact, discretion, and diplomacy, and to maintain strict confidentiality.Excellent written and verbal communication skills, and strong interpersonal skills; ability to maintain a professional demeanor at all times.Exhibit a proactive, service-oriented manner and ability to deal effectively with a diverse and demanding client base.Ability to research and synthesize information and communicate it effectively to lay audiences in verbal and written form.Ability to work independently and as part of a team, manage priorities, multi-task, problem solve and exercise good judgment in a dynamic and deadline-driven environment.Ability to thrive while working with a high volume of work and critical, time sensitive deadlines.Ability to influence change, develop systems, and work collaboratively in the best interest of the UW, the School and/or affiliate institutions.Demonstrated accuracy and attention to detail in work products.Demonstrated commitment to diversity, equity, inclusion, and belonging with the ability to collaborate across diverse populations.Professional level competency with general MS Office applications, e.g., Word, Excel, PowerPoint, Outlook, and ability to learn new software applications as necessary to do the job.DESIRED QUALIFICATIONSExperience with Academic HR policies and procedures, preferably in a state institution.Experience with recruitment, retention and community building efforts promote diversity, equity and inclusion, and anti-racism.Workday experience within an academic setting.PHR or SPHR.Application Process:
