Fiscal Specialist 1 (NE S SEIU 925 Non Supv)
to join their team.Reporting to the HR Manager in the College of Education’s Dean’s Office, the HR/Payroll Coordinator will provide payroll and HR coordinator support to ensure that all employees are hired and paid on time and correctly. This position will assist with the processing of payroll for faculty, staff, and student employees, and apply financial management principles to perform functions such as basic data entry, basic analysis, record-keeping, auditing, and other types of operational support. This role will require four days in the office per week with one day remote.DUTIES AND RESPONSIBILITIES
Payroll Coordination
Perform data entry in Workday to include entering hiring actions, time and absence management, auditing timesheets, running and auditing Workday reports, entering costing, and other various business processes.Use insight into payroll transactional processes to research, analyze and successfully resolve hiring and payroll-related issues.Ensure completion of required Workday payroll transactions in a timely manner; provide timely information and reminders and follow up with employees and supervisors regarding required Workday action to ensure accuracy of records; initiate transactions as needed; perform regular audits.Run and analyze audit reports and take proactive measures as required to ensure appropriate business processes are followed, and to minimize lapses in data integrity.Provide support and perform functions related to scheduled and ad-hoc payroll processes, including time and absence entry/corrections, underpayment and overpayment processing, shift and schedule changes.Maintain proficient knowledge of Workday fundamentals and stay up to date regarding policies, procedures, and best practices.Share Time and Absence Initiate, I-9 Coordinator, and Costing Allocations Coordinator responsibilities with other HR, payroll, and finance staff.Maintain high compliance standards while also meeting turn-around goals.Human Resources Coordination
Assist with COE human resources functions related to academic, student and staff personnel.Conduct new hire orientations for faculty, staff and student employees; ensure that appropriate and required paperwork is received and complete in a timely manner.Serve as a resource for HR and payroll related information and provide guidance to all employees with questions regarding certain COE HR and payroll related policies.Coordinate and prepare new hire paperwork/letters for all COE employees (academic personnel, student and staff).Obtain required new and reappointment documents for faculty/academic personnel for submission into Workday and Academic HR.Regularly audit the Workday onboarding reporting and the home address audit for data integrity.Create and maintain all personnel files for students, staff and faculty in accordance with UW policies and the Records Retention Schedule.Serve as I-9 Coordinator in Workday, ensuring all I-9s are completed accurately in the system for all new hires, and re-verifying I-9s for employees with additional work authorization.Run student background checks when applicable and run Sexual Misconduct Declarations for applicable hires.Complete verification of employment requests.Other duties as assigned.MINIMUM REQUIREMENTS
High School Diploma and two years of experience at a level equivalent to Fiscal Specialist I or equivalent education/experience.ADDITIONAL REQUIREMENTS
Familiarity with HR and payroll transactions in an academic, government, or not-for-profit organization.Demonstrated ability to work with a team to manage multiple priorities and high transaction volume calmly and competently.Demonstrated experience processing bi-weekly or semi-monthly payroll.Demonstrated experience in customer-service-oriented environment.Demonstrated ability to build supportive working relationships with individuals of widely divergent backgrounds and needs.Demonstrated ability to handle sensitive documentation and information.Demonstrated experience performing tasks that require good judgment, critical thinking, discretion and sensitivity while interacting with and serving customers.Excellent written and verbal communication and interpersonal skills.Superior time management and organization skills.Ability to work independently with limited supervision as well as collaboratively as part of a team.Demonstrated excellence in tracking complex transactions through multi-step workflows extending over several months or more.Demonstrated experience performing tasks that require strong attention to detail and high levels of accuracy.Ability to maintain focus and prioritize occasional heavy workloads and project requests with frequent interruptions.Strong skills in Microsoft Office applications.Commitment to building personal and organizational capacity.DESIRED QUALIFICATIONS
