Vice President of Programs & Operations
San Diego Oasis (SDO) champions the older adult population by providing lifelong learning education, fitness activities, and intergenerational volunteer opportunities to ensure continuing engagement, optimal health and wellness, and involvement in the world. SDO has an exciting opportunity for the right person to oversee business functions with a focus on people (HR), programs (leading growth of programmatic performance), and operations (leading facilities and overall operations management).
Job Summary
Reporting to and working closely with the President & CEO, the successful candidate will have expertise and a proven track record in leading growth of programs, leadership of human resources and culture, as well as operational systems to support all aspects of organizational excellence.
A trusted partner to the CEO in excellence and integrity, the Vice President of Programs & Operations will focus on maintaining financial stability, staff recruitment and training, programmatic performance, technology optimization, and facilities management.
As a member of the SDO leadership team, the Vice President of Programs & Operations models relationship building, excellent communication skills, and approaches challenges as growth opportunities. The VP will strategize and work collaboratively across the organization to achieve the goals set forth by SDO’s strategic and work plans that will position the organization for growth and future expansion.
The person we seek balances leadership with management, uses data and critical thinking to inform operational efficiency, sets and follows through with goals, motivates staff to pursue excellence, communicates clearly and effectively, builds rapport with the SDO Board of Directors, key stakeholders and staff, and serves as a role model in the organization.
Essential Duties and Responsibilities
The Vice President of Programs & Operations will oversee all aspects of human resources, program development, business contracts, compliance, operational and facilities management systems, and other duties as assigned by the CEO.
This role supervises:
Two Office and Volunteer Managers (in La Mesa and in Rancho Bernardo)
Director of Lifelong Learning
Manager of Intergenerational Tutoring
Director of Tablet Program and Rancho Bernardo Oasis Program Assistant
Responsibilities include:
Overseeing daily business function operations
Maintaining a work culture in line with SDO’s values
Fostering a community of support and access for all stakeholders
Upholding integrity and honesty in all practices
Providing a support system for the CEO and working effectively with the SDO leadership
Representing the organization in the absence of the CEO as the leader at internal and external functions and events
Demonstrating a clear understanding of trends and issues associated with all aspects of operations of the organization
Ensuring accuracy and timely reporting on all operations-related items
Working effectively with superiors: accepting feedback, addressing concerns, and remaining professional
Innovating and creating opportunities to improve program effectiveness and organizational outcomes
Managing, prioritizing, and meeting deadlines
Understanding direct reports and their programs; helping analyze and grow these programs, and setting up systems to measure programmatic impact
Launching new programs and capturing opportunities that align with organizational goals and mission
Instilling human capital development and coaching culture; creating opportunities for training, positive employee relations, and effective recruiting
Improving staffing systems that support Oasis people and their direct programs: work plans, job descriptions, and annual goals
Overseeing staff performance and opportunities for advancement and improvement to increase organizational effectiveness and prevent staff burnout
Assessing staff workload and recommending changes as necessary depending on financial limitations
Ensuring consistent staff onboarding, training, and background checks to minimize risk to SDO, in partnership with HR consultant
Analyzing best practices of SDO instructor hiring and volunteer management, in partnership with HR consultant
Working with finance staff (CFO and Staff Accountant) to support financial management work
Developing and overseeing budgets in collaboration with the CEO and finance staff
Establishing and maintaining impact reports for programmatic efficiency; enabling strategic and tactical budgeting processes
Monitoring SDO financials for fraud and/or financial recording errors
Analyzing current technology infrastructure and determining needs – current and future
Identifying and implementing appropriate tech resources for staff to deliver results
Enhancing cyber security policies and procedures
Training staff on cyber dangers and how best to utilize the tools they have
Innovating current Cox Tech Tank in La Mesa and building the Oasis Innovation Center programming at the Rancho Bernardo location
Overseeing all organizational contracts, leases, and MOUs (unrelated to fundraising) to negotiate best outcomes for SDO
Staying abreast of all laws and best practices related to non-profit accounting, human resources, and information technology to ensure operational excellence and mitigate risk
Understanding and interpreting best practices to reduce SDO’s exposure and risk in all areas that impact the organization
Overseeing improvements and maintenance of La Mesa and Rancho Bernardo facilities for optimal operation and use
Other Duties as assigned by the CEO
Qualifications
A strong candidate for this role is a focused, responsible, organized, and strategic thought leader who understands the tasks that must be executed to maintain and expand a significant and important non-profit organization that supports the senior population and at-risk children in public schools.
7 to 10 years of experience in business operations/administration or equivalent responsibilities
Bachelor’s Degree required. Master’s Degree preferred.
Experience with financial management software, audits, financial planning, and budgeting
An understanding of federal, state, county, and city labor laws and requirements
Working knowledge of Microsoft Office
Comfortable with budget analysis, CRM management, and learning and using new technology
Other Requirements

Excellent analytical, strategic thinking, and problem-solving skills
