The LCMS is a confessional Lutheran denomination in the United States with about 1.7 million members. Synod, Inc. is the Missouri not-for-profit corporation that carries out the work of the LCMS. The President serves as the ecclesiastical and ecumenical officer of the Synod and is responsible for supervising the doctrine taught and practiced in the Synod, including all synodwide corporate entities. The First Vice President (FVP) is an elected officer of the Synod, is responsible to the President and carries out responsibilities as assigned in the bylaws or as delegated by the President. The FVP serves as the chairman of the Colloquy Committees for Pastoral Ministry and Commissioned Ministry. The FVP is a voting member of the LCMS Council of Presidents and its Program Committee, a non-voting member of the LCMS Board of Directors, and a non-voting advisory member of the Commission on Theology and Church Relations.
Reporting Relationships
Reports to the First Vice-President of the Synod. Relates to officers of the Synod, the Office of the President and staff the Praesidium, rostered members of the LCMS, districts, seminaries and other related institutions as well as other programmatic staff of the Synod.
Essential Job Functions
Provide high-level administrative assistance to the FVP to proactively manage the FVP schedule and priorities
Responsible to provide administrative tasks to FVP including scheduling, reporting, expense reimbursement, credit card reconciliation, receiving and screening phone calls, etc.
Make and manage FVP travel arrangements resolving travel complications or delays, as needed
Exercise discretion and professionalism as gatekeeper for FVP for direct access to FVP time and office
Maintain detailed recordkeeping and filing system for FVP Office of print and electronic documentation/data
Conduct special research projects or data analysis, as requested by FVP
Recognize and address issues related to the FVP Office duties before they become problems; Review and answer FVP correspondence and mail, as appropriate
Provide administrative assistance to Praesidium, such as, but not limited to travel arrangements, meeting coordination, expense reimbursement, etc.
Develop appropriate methods to handle the gathering of information and operation of the FVP office
Serve as primary contact and administrative assistant for the pastoral colloquy and commissioned colloquy committees.
Thoroughly review and provide initial evaluation of all colloquy applications
Prepare all material for colloquy meetings, distributing material to committee members, managing colloquy applicant travel and questions prior to meeting
Complete all post-colloquy committee meeting correspondence, notifications, and documentation
Assist the First Vice-President in preparing updates to policy manuals, as needed
Provide assistance upon request in the operation of the Office of the President
Education and Experience
Active member of LCMS congregation, required
Minimum of 5 years of previous administrative support or similar work experience.
Proven successful work experience working with both internal and external stakeholders, constituents, or customers
Postsecondary education, desired
Knowledge, Skills and Abilities
Good understanding of LCMS structure, doctrine and teachings, preferred
Strong detail orientation, required
Advanced organizational skills with both electronic and print material/data, required
Professional and personable interpersonal skills, required
Independent, self-starter work style, required
Willing and eager to assist the FVP in his day-to-day and overall responsibilities and tasks, as needed
Ability to use discretion and good judgment with confidential matters
Proficient command of the English language use, spelling and punctuation; working knowledge of proofreading techniques
Good telephone skills with the ability to handle anxious callers with multiple questions.
Ability to take accurate messages as appropriate
Ability to accurately take and follow instructions showing willingness to ask questions, as needed
Ability to track and organize work effectively and demonstrate ability to take ownership and be accountable for results, tasks, and achievements
Ability to work under pressure and maintain good working relationships with co-workers
Demonstrate a professional appearance with an accommodating and professional demeanor and collaborative pleasant attitude to co-workers and stakeholders
Proficiency with personal computer using Microsoft Office Suite Products; willingness to take additional computer training
