GENERAL SUMMARY:

The Executive Director will work with the Hood River Adopt a Dog strategic vision and lead decisions to drive growth and ensure successful day-to-day operations. The Director is responsible for overseeing all aspects of our operations, including strategic planning, budget management, development, fundraising, donor cultivation and animal welfare. We are a no kill shelter that works closely with Hood River County and the community with our Volunteer Program towards the same goal. We are a primarily community donation funded organization.

The Executive Director has great time management. The shelter is undergoing revitalization and requires an ED that can work with a team for animal care and develop personnel to help the shelter restructure and grow the organization with a focus on best practices and progressive animal programs. Ability to commute to Odell, OR, 97031. Position allows flexibility to work from home when necessary.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Management of the HRAAD Volunteer Program.

Hire and manage staff including onboarding, interviewing, hiring, continuous training, and updating job descriptions.

Ensure facility maintenance including all shelter equipment.

Establish an open line of communication with the Board of Directors.

Assist with planning, creating, and executing all fundraising activities such as Annual Event and Winter Ask.

Attend all fundraising events (some evenings & weekends expected).

Attend HRAAD Board of Directors monthly meeting and present ED report.

Submit monthly ED report in a timely manner prior to monthly board meetings.

Ensure compliance with human resource policies to local, state, and federal regulations. Implement and ensure all personnel policies are up to date and in place.

Develop and implement effective business strategies to drive best practices in animal welfare and achieve organizational goals.

Maintain community outreach program.

Ensure proper insurance coverage is up to date.

MINIMUM EDUCATION, EXPERIENCE AND REQUIREMENTS:

Bachelor’s degree in related field (preferred) or equivalent in experience.

Minimum of two (2) years’ experience in program and/or business administration.

Demonstrated ability to lead teams and drive organizational success.

Excellent management, delegation, and communication skills with the ability to prioritize tasks and meet deadlines.

Valid driver’s license, reliable personal vehicle, and willingness to use personal vehicle to transport dogs as needed. Produce valid insurance and registration for personal vehicles.

Preferred Experience: Previous experience with animal care and non-profit organizations.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES:

Proven supervisory, delegation, and organizational skills including time-management and multitasking.

Excellent written and verbal communication skills.

Ability to foster a positive work environment that promotes collaboration and open communication.

Ability to work independently and work well with people.

Knowledge of standard accounting practices and Quickbooks.

Knowledge of social media platforms and scheduling tools, Microsoft office, and Google.

Knowledge of grant writing and processes or ability to research and implement them.

Preferred: Understanding/willingness to acquire understanding of essential safety practices for handling dogs, including comprehensive knowledge of dog behaviors. Competent in working with potentially dangerous dogs.

ADMINISTRATION:

Provide guidance, supervise, and delegate duties to shelter staff.

Evaluate and encourage staff development, education, and specialized training. Update continuing education and training as needed.

Ensure compliance with human resource policies to local, state, and federal regulations for the workplace. Implement and ensure all personnel policies are up to date and in place.

Prepare annual staff performance evaluations between October 1 and November 30 and conduct annual in-person reviews prior to December 1 following reporting protocol.

FINANCIAL MANAGEMENT:

Develop annual budget in collaboration with the Board of Directors.

Use accepted standard financial accounting practices and procedures as set forth by the HRAAD Board of Directors including the handling of daily and weekly cash.

Demonstrate good stewardship of HRAAD funds by following budgetary purchase and spending limits set forth by the HRAAD Board of Directors.

Identify Grant opportunities and collaborate with Board of Directors for execution.

VOLUNTEER PROGRAM ADMINISTRATION:

Execute administrative duties necessary to recruit and maintain a volunteer corps for the HRAAD volunteer program.

Verify completion of related and required paperwork from volunteer corps.

Maintain an accurate database of all volunteers using an HRAAD approved format.

Provide resources and training for volunteers on handling dogs safely and who to contact in an emergency.

Coordinate monthly training/orientation sessions including updates on safety requirements and obtain confirmation that special guidelines, safety protocols and procedures are received and understood.

Create a ‘shift calendar’ and work with volunteers to successfully navigate the calendar and sign up for shifts.

Monitor shift calendar and adjust accordingly to dog population at the shelter.

Create, maintain, and document a follow-up routine for existing volunteers on a regular basis for questions, comments, and feedback.

Create and deliver email campaigns for volunteer support at HRAAD fundraising and special events.

Include in the Executive Director monthly report updated volunteer numbers and any comments/requests.

VOLUNTEER PROGRAM RECRUITMENT AND RETENTION:

Develop and implement a plan to reenergize the HRAAD Volunteer Program.

Select and train volunteers in alignment with the goals and procedures of the shelter by understanding HRAAD will provide training and guidance for shelter volunteers outlining clear roles and responsibilities.

Identify effective methods for recruiting new volunteers. (community involvement, publicity, specific events, school activities, etc.)

Implement a recognition award program incorporating volunteer recognition events each calendar year.

Provide incentives for qualified volunteers to encourage a long-term commitment.

PHYSICAL REQUIREMENTS:

Able to sit, stand, walk, stoop, twist, bend, crouch, pivot and reach on a frequent and regular basis.

Be able to lift to fifty (50) pounds and walk and/or otherwise handle a dog up to 150 pounds occasionally requiring the strength and agility to capture and restrain a dog.

Possible exposure to sick, injured, frightened and/or unruly dogs, cleaning solvents, dog waste, saliva, wounds, blood, and loud noise (barking or horns).

Inside and outside work is required. Possible exposure to weather, unpleasant odors, noise, bites, and scratches.
