Assistant to the Directors, Engineering Services and UW Sustainability Asset Management
to provide administrative support, procurement support, and human resources support for two units within Asset Management - Engineering Services and Sustainability. This role requires a high degree of initiative, independent judgment, confidentiality, and discretion in daily interactions. The individual must anticipate the needs of the Executive Director and understand the goals and interests of the Directors.Primary Duties and Responsibilities
Administrative Services & Executive Support (40%)
Serve as liaison support for the Director of Engineering Services (ES) and Director of Sustainability, including assistance with managing the Directors’ schedules and setting up higher-level meetings.Provide support in general office supply maintenance including supply ordering and department computer and mobile phone program operations.Manage and reconcile Pro Card, CTA Card, and Workday Finance transactions.Assist with travel planning and coordination.Draft occasional communications for the Directors; edit and review materials; develop presentations.Manage complex schedules and make independent decisions regarding meetings.Research, analyze, develop, and edit correspondence, spreadsheets, presentations, and technical materials.
Human Resources Administration (40%)
Maintain an HR HCM2 security role in Workday.Develop and maintain HR processes and procedures.Manage database used for annual employee performance review process.Protect confidential and sensitive information.
Special Projects and Meeting and Event Management (20%)
Provide, develop, and oversee project and process management for various activities.Point-person for a variety of questions from unit and UW staff.

Demonstrate personal integrity and trustworthiness.Manage stressful situations and change priorities effectively.Exercise professionalism, which includes tactfulness and courteousness.Requirements include:
Bachelor’s degreeA minimum of two years of progressively responsible administrative experience supporting senior-level executives.Advanced skills in Microsoft Office Suite.Conditions of Employment:
