Executive Assistant to Partner - Confidential Entertainment Law FirmA confidential entertainment law firm is seeking a highly organized and detail-oriented Executive Assistant to support a high-volume attorney and partner. The role requires exceptional multitasking abilities, a keen eye for detail, and the capacity to thrive in a fast-paced, client-focused environment. The Executive Assistant will play a pivotal role in managing a busy desk while ensuring seamless communication and operations.This position comes with a unique and exciting focus on financial tracking and client payments, placing the Assistant right at the heart of high-stakes client work. You will be directly involved in monitoring and managing substantial payments, commissions, and disbursements, ensuring accuracy and timing are flawless. From tracking incoming checks to processing payment requests, you will be a crucial link between the firm and its high-profile clients. This role demands precision, accountability, and a common sense approach to navigating the exciting world of talent management and legal representation. Your understanding of the entertainment and production industry along with your ability to communicate clearly and efficiently will serve you well as you navigate a high-stakes and exciting role.Key Responsibilities:Manage heavy communication with high-profile clients and industry professionals.Coordinate scheduling of meetings, calls, and appointments for the partner.Draft and edit legal correspondence and documents.Handle heavy phone coverage, taking detailed notes and ensuring timely delivery of messages.Maintain legal files, databases, and manage document flow via tools like iManage, AirTable, and DocuSign.Oversee all aspects of client payments, including tracking incoming checks, processing payment requests, and ensuring timely disbursements, with a focus on accuracy and accountability.Proactively manage financial timelines, ensuring clients receive payments on schedule and that commissions are tracked and reported with precision.Manage the partner's mail, including reviewing and responding to relevant communications.Track project progress, ensuring deadlines for proposals, contracts, and other deliverables are met.Ensure the partner is informed about client financial statuses, deadlines, and outstanding matters, offering proactive administrative support.Qualifications:3+ years of experience as an Executive Assistant, ideally within the entertainment or legal industry.Strong attention to detail, especially when handling high-stakes financial matters such as check tracking and payment disbursement.Proficiency with AirTable and DocuSign.Excellent communication skills, with the ability to liaise effectively with clients, agents, managers, and other VIP contacts.Ability to work independently, prioritize tasks, and manage multiple projects simultaneously in a fast-paced environment.Accounting experience or familiarity with financial processes within a legal or client-services setting is highly preferred.What we offer:Competitive compensation package: Base Compensation $75,000-$85,000 plus overtime and bonus401K100% Medical, Dental, Vision covered health benefitsThe successful candidate will be proactive, adaptable, and a strong team player.
