Executive Assistant
General Description:
The ideal Executive Assistant candidate will be efficient and effective with their time assisting financial advisors with minimal supervision. The purpose of the advisors and firm is to meet with qualified prospective clients to provide the best solutions to reach the clients' financial goals. This person must have sound judgment in a variety of situations and maintain confidentiality. They will have strong organizational skills and the ability to maintain a realistic balance among multiple priorities. Ultimately, this role will contribute to the efficiency of our business by providing personalized and timely support.
Specific Responsibilities:
Managing to an ideal calendar that sets up the advisor to be successful and work as effectively and efficiently as possible.
Remove tasks and obligations that an EA can complete, allowing the advisor to focus on what is most important.
Communicate professionally with internal and external team members and clients.
Coordination of logistics for meetings, events, and offsite conferences; assist with preparation of presentations and other materials, ensuring catering and transportation are arranged.
Monitor and respond to incoming correspondence and phone calls while maintaining discretion and confidentiality.
Updating/editing Excel, Word, or PowerPoint presentations, including printing and binding when necessary.
Leading, coordinating, and executing on internal ad hoc projects and reports as requested.
Perform all tasks with a high degree of professionalism, accuracy, and confidentiality.
Skills:
Ability to work in a fast-paced environment; can adeptly handle ambiguity.
Capable to lead and influence without having positional authority.
Strong team orientation, interpersonal skills, and proven ability to develop strong client relationships.
Excellent written and verbal communication skills.
Strong proficiency with Microsoft Project, PowerPoint, Excel, and social media along with advanced computer skills.
Exceptional interpersonal skills. Enthusiastic, self-motivated, calm, and effective under pressure; highly collaborative and team-oriented.
Forward-thinking and demonstrates confidentiality and strong judgment in all types of situations.
Strong time management and attention to detail with a high level of accuracy.
Flexibility for overtime, depending on the workload.
Minimum Requirements:
Undergraduate degree ideally in communication or marketing.
3+ years in a role with similar functions.
Location:
5x a week in office for initial training period, then hybrid schedule with 3x a week in office and 2x a week remote.
Salary:
$65,000.00 - $75,000.00 per year
