We are now actively recruiting for an Executive Assistant to support our industry leading Credit Tenant Lease and Structured Debt Products business, which has been ranked in the top 10 of U.S. private placement transactions for seven of the past eight years.
This position will provide direct executive level administrative support to the President & Head of Strategy, Capital Markets, Senior Managing Directors and indirect support to a team of 10 professionals. The position requires a broad range of executive level administrative skills, excellent attention to detail, the ability to work independently, maintain confidentiality, exercise sound reasoning and deal with competing demands. A key requirement for this position is the ability to work onsite Mon- Fri at our Corporate Headquarters located in downtown Chicago.
Responsibilities:
Provide direct executive level administrative to the President & Head of Strategy, Capital Markets. Senior Managing Directors and indirect support to a team of 10 professionals, which may include but not limited to travel and lodging arrangements, expense reports, calendar maintenance, answer phones, assist visitors, prepare and plan meetings/events, holiday mailings, resolving and/or referring a range of administrative problems and inquiries, ordering office supplies, file preparation, scanning documents.
Responsible for planning and successful execution of annual client conferences, meetings and events.
Responsible for updating and maintaining the register of names for private placement transaction offerings.
Ability to assist in organizing marketing materials and client presentations.
Ability to set up, organize and navigate electronic deal files.
Facilitate/process NDAs with clients and in-house counsel/compliance.
Independently exercise good judgment, discretion and sound reasoning in making important decisions for the department.
Assist in coordinating with senior level executives in preparation of marketing materials for presentations.
Sort, screen, review and distribute incoming and outgoing mail; compose, edit, proofread correspondence and reports; responds to a variety of written inquiries in a timely manner.
Function as the interface between the business and other departments within Mesirow.
Handle confidential information in a professional and discreet manner.
Perform other duties and special projects as needed or assigned.
Key Requirements:
Bachelor’s degree and/or equivalent work experience.
Prior experience in commercial real estate (highly preferred).
A min. of 10 years demonstrated experience as an executive assistant supporting c-suite executives preferably within the financial services sector.
Possess strong knowledge of all MS Suite of products, specifically MS Excel.
Superior professional communication skills required, both verbal and written, including strong telephone skills.
Ability to work independently and professionally with institutional clients.
Experience handling material of a confidential and sensitive nature.
Proficiency in managing multiple projects effectively, with a high degree of accuracy and in a timely manner.
Self-starter, ability to work with autonomy in a team environment and proactively anticipate and solve critical issues.
