In this civilian position in Flagstaff, you will join our Administrative Team, as part of the Support Services Division of our agency. This diverse team is made up of 5 Public Service Specialist, Senior/Admin Law Enforcement Specialist’s that report to an Administrative Supervisor. Team members collaborate to achieve shared goals. In this role, you have the opportunity to bring your skills in communication, organization, and accuracy to accomplish the many wide-ranging duties of the team. You will receive on-the-job training, development, and the opportunity to work flexible schedules.

Under supervision, performs law enforcement administrative work of moderate difficulty; performs related work as assigned. Collaborates with team members to achieve shared goals.
Typical Duties(Illustrative only)
Performs data entry and quality control of record management systems and databases (i.e., criminal history, sex offenders, etc.)
Performs data integrity auditing
Performs statutory mandated processes (i.e., sex offender registration, vehicle impound releases, civil document processing, etc.)
Completes financial component of programs (i.e. calculate fees, create invoices, receive and process payments/refunds)
Transcribes reports from dictation, composes correspondence, and other documents
Completes statistical reporting
Coordinates the preparation, distribution and preservation of departmental records
Creates, processes, and distributes confidential and sensitive documents and correspondence
Provides customer service at front window and incoming phone calls for department
Provides training to assigned staff
Communicates and acts as liaison with other departments, agencies and the public
Attends meetings to represent the department
Researches pricing and vendors and prepares requisitions for needed goods and services
Coordinates and schedules specialized departmental functions, meetings, and travel
May supervise employees as assigned
May perform research regarding grants and external sources of funding
May take and transcribe meeting minutes
Essential functions of this position include but not limited to: sitting; working with and around others; dealing with interruptions, repetitive motion (hand/wrist/elbow/shoulder) for computer work, filing telephones etc.; Vision Acuity (Near) computer work; hearing for communicating with others with phone calls, meetings; speech for telephone and ordinary conversation/communication; touch for typing, filing, writing and phones.
Minimum QualificationsFive years of progressively responsible administrative or clerical experience; OR,
Associate's degree and four years of progressively responsible administrative or clerical experience; OR,
Bachelor's degree and two years of progressively responsible administrative or clerical experience; OR,
Any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the position.
ADDITIONAL REQUIREMENTSMust pass background and polygraph including criminal history. Once in the position, must obtain Arizona Criminal Justice Information System (ACJIS) certification.
The
ideal candidate
is an excellent team player; eager to learn; previous law enforcement/detention/court experience.
Preferred Qualifications
include administrative/clerical experience; customer service experience; data entry and records management; team player; transcribes from dictation, and possesses great communication skills.
This position is non-exempt from overtime.This position is safety-sensitive.

Rules and procedures of assigned department
Criminal history information, including ACJIS certification
Specialized terminology, procedures, and forms
Records management
Business English, spelling, and arithmetic

Working knowledge of:
Principles and practices of administration
Basic financial principles and/or entry
Skill In:
Use of computer applications, including word-processing, spreadsheets, and/or database
Use of modern office equipment
Ability To:
Ability to make sound decisions independently and in accordance with regulations, policies and procedures
Perform complex administrative functions with speed and accuracy
Meet deadlines and maintain workflow
Accurately maintain records and prepare reports
Provide excellent customer service with difficult customers
Establish and maintain effective working relationships with employees, other agencies, and the public
Maintain situational awareness, work safely and support the culture of workplace safety
Follow written and verbal instructions
Communicate effectively verbally and in writing
