Executive Assistant, Worldwide Theatrical Marketing Partnerships
Executive Assistant position-responsible for supporting SVP in Worldwide Theatrical Marketing Partnerships group.Responsibilities to include, but not limited to:Manage SVP's heavy daily global calendar and schedule/coordinate meetings and appointments.Arrange meetings and conferences handling logistics from securing conference rooms, arranging catering and welcome boards, issuing meeting invitations to preparing NDAs, presentations, agendas, and recaps for meetings as required.Perform administrative duties including creating, maintaining and organizing documents.Arrange detailed international travel plans and itineraries and compile travel documentation and expense reports.Prepare reports and presentations in PowerPoint, Excel, and MS Word, and keep internal documents up to date (i.e., distribution/contacts lists, promotional timelines, status reports, etc.).Answer phones, print materials, route incoming and outgoing mail including arranging international shipments.Manage merchandise inventory/storages and assist in the development of promotional merchandise items.Assist in coordinating logistics, organizing meetings, etc. for conferences and trade shows.Help coordinate participation in film premieres, such as managing invites, attendees and assisting with on-site logistics as needed.Manage development and distribution of promotional mailers.Research duties, including tracking competitive landscape and designing and managing global brand newsletters for key stakeholders.Liaise with internal departments and external entities.Basic Qualifications:Bachelor's Degree.1+ years equivalent work experience, preferably with entertainment and/or international background. Knowledge of foreign languages is a major plus.Additional Qualifications:Excellent written, verbal, and interpersonal skills with the ability to interface with staff, internal and external contacts and senior management.Familiar with a variety of industry concepts and theatrical properties.Excellent organizational skills and attention to detail.Ability to multi-task, prioritize and manage time efficiently to meet deadlines.Self-motivated, pro-active, resourceful, solutions oriented problem solver.Ability to work well and be flexible in various challenging environments including timely and high-pressure situations.Driven self-starter who can identify and troubleshoot supervisor needs.Highly Proficient with MS software including Word, Excel & PowerPoint, Zoom. The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
