General Overview of Position:

This position oversees the Client Services Department and supports the Director of Client Services. Additionally, the Client Services Lead ensures successful and efficient day-to-day operations for client services, and partnerships with field services, in accordance with standard operating procedures and client expectations. The ideal candidate for this position should possess knowledge of team leadership and development, the ability to multi-task, project management skills, and effective communication. Prior experience in scheduling coordination, understanding how a construction site operates, and a general familiarity with the construction inspection industry and operating procedures are encouraged.

Responsibilities:

Maximize Efficiencies and Minimize Costso Work with the Director to implement and evaluate new field scopes of work mandated by programs, clients, jurisdictions, and sales representatives, ensuring processes are efficiently incorporated into operations.

o Evaluate workload management and optimization, identify and resolve skillset mismatches, and address capacity issues.

o Identify and resolve any issues hindering scheduling optimization.

o Cross-train schedulers in various regional tasks to ensure consistent productivity.

o Implement standardization in scheduling tasks.

Monitor, Track, and Report Metricso Field Metrics: Monitor and report field performance.

o Central Scheduling Metrics: Monitor and report scheduling performance.

o Time Studies: Conduct time studies for tasks to evaluate efficiencies and costs.

Manage Department Personnelo Execute new company policies and procedures, ensuring employees adhere to them.

o Hiring: Conduct interviews and collaborate with HR on job descriptions.

o Termination: Issue terminations with HR and DFR approval.

o Disciplinary Action: Document and report all disciplinary actions to HR and DFR.

o Payroll Approval: QA and approve employee timecards.

o PTO/Sick Approval: Monitor and approve PTO and sick time in accordance with company/department policy.

o OT Approval: Minimize and approve overtime.

Employee Developmento Coordinate necessary training with subject matter experts to ensure employees develop the skills and tools needed to maximize their performance and productivity.

o Create and maintain current training manuals and/or SOPs to assist employees in their roles.

o Evaluate employee performance by administering timely annual performance evaluations.

o Provide coaching and individual development to support team growth.

o Conduct team-building activities, meetings, seminars, etc., to promote cohesiveness, communication, and positivity.

Communication and Escalationo Serve as the point of escalation for scheduling employees, internal business partners, and clients to resolve issues.

o Develop relationships with purchasing agents or construction managers to foster healthy working relationships and assist with problem-solving.

o Escalate any issues that impact department and company performance, reputation, or liabilities.

o Monday - Friday day shift; however, additional hours, including weekend hours, may be required in accordance with changing business needs.

o Other duties as assigned.

Requirements

Education, Experience, and Desired Qualifications:

High School Diploma or GED; Associate degree preferred.Minimum of three (3) years of supervisory/management experience.Minimum of five (5) years of direct experience in planning and prioritizing daily schedules (or similar work); construction experience preferred.Working knowledge of builder scheduling tools and terminology.Ability to maintain professionalism under tight deadlines; exhibit active listening, negotiation, and problem-solving skills; and handle confidential information with discretion and trustworthiness.Excellent time management, documentation, communication, and personal effectiveness skills.Proven experience in coaching and training others.Professional written and verbal communication skills, both internal and external.Above-average knowledge of word processing tools, CRMs, and spreadsheets such as MS Office, Word, and Excel.General construction knowledge.Benefits:
