Its mission is to preach the gospel of Jesus Christ and to meet human needs in His name without discrimination.Position SummaryThe Administrative / Corp Assistant reports to and works under the supervision of Corps officers, assesses clients, processes requests for social service assistance, supports food distribution, orders food purchases, supplies, works with other agencies in the community, maintains physical and digital records of the program and prepares reports and statistics for social services & Corps programs.Essential FunctionsAdministration Aid, for The Salvation Army is a position of sacred trust - representing, nurturing, protecting and advancing the mission and purpose of The Salvation Army; and serving the needs of people in our community with dignity and respect. As such, all employees are expected to fulfill the following responsibilities within the scope of duties they perform:Organizes and prioritizes the various tasks of the Ontario Corps office in order of their importance.Answering, tracking and follow up client phone calls& Corps programsProvide information about Corps and Social Service program.Social Service assistance intake process, & Scheduling for next appointment.Social service assistance applications recording processKeeping safe client's records confidential information.Make and Keeping WM, CCM Corps records in R DriveFood Pantry organize, packing boxes, make sack lunches and food distributionSupport all the regular and seasonal assistance programs to community,Prepare Social Service program reports and statsMake flyers, posters, letters, and social media postsCoordinate volunteers, applications, and assigned projects.Processing AP, Credit Card receipts and ARParticipate in related to Salvation Army trainingCommunicates directly with donors, partners and Corps Officers daily regarding any issue.Opens and sorts all incoming mail for the Ontario Corps including confidential matters.Makes deposit to bank weekly after counting.Hand out sack lunches and update WellSky and others daily.Set up daily sack lunches with fruit and sweets & other program.Open and close gates.Willing to empty trash cans, clean glass window and pick up chairs and tables as neededConfidentiality of all client's documents and personal information.
PAY RANGE: $18.00-$20.00/HRAdministrative software related skillsOutlook knowledge, word, excel power point.Ability to learn and apply the use of new software programs.
Seasonal EffortAssist with client intake for seasonal assistance as needed.Assist with toy distribution and food distribution as assigned by Corps Officers.Assist with collecting toys from donors.Assist setting up volunteers for bellringers and thanksgiving as assign by corps officersAssist with delivering or collecting kettles from locations.Open to work flexible Schedule hours.
Miscellaneous:Dress Code: Office attire is prescribed in the Employee Handbook as well as the addendum signed at hire.Hours: The normal workweek will be determined based upon activities and needed hours in order to adequately fulfill the position, the hours worked may include community meetings.Communication: To enhance communication, a regular supervisory meeting will occur. This will be a time to set goals, discuss progress and other items as deemed necessary. It is expected that Outlook will be utilized to help streamline communication.Evaluation: Employees will be evaluated following the probationary period, job change and then annually.Live Scan fingerprint upon hiring required.
Minimum QualificationsHigh school diplomaMust have data management and reporting skills.Minimum of two years of secretarial administrative aide experience.Bilingual in English & Spanish preferred.Must have a clean Driving record and clean MVR check
Skills, Knowledge & AbilitiesIf working in area with children a criminal background check is required with certification for Protect the Mission policies and procedures.Must have ability to work with, direct, and relate well with co-workers, community members, and guests/clients.Able to function in a fast-paced, frequently changing environment.Must possess good Guest Relations skills
