Summary of Job Duties The
Senior Property Manager
is responsible for directing propertymanagement operations, including responsibility for tenant relations,budgeting, financial reporting, interior construction, capital improvements,establishing and interpreting operational policies, ensuring compliance withcompany policy and objectives, overseeing property management staff andproviding support for leasing, acquisition and new development staff. Tenant Relations Establish apositive relationship with new and prospective tenants by providing strongcustomer service and responding to inquiries/open issues promptly. Conductquarterly tenant visits (at a minimum) to proactively cultivate tenantrelations. Administerand facilitate annual tenant surveys, and review survey results to implementchanges (or provide explanations as appropriate) to address any issues andmaintain a positive relationship with each tenant. Accounting & Reporting
Generateannual budgets and quarterly reprojections for expenses and capital for theportfolio. Oversight of operating expense estimates and reconciliations.Assistance with annual reconciliations and collections. Manageoperating and capital expenses for the portfolio to ensure budget guidelinesare established and adhered to based on the company's objectives. Performand/or oversee monthly management report preparation, including variancereports, construction management fees, general ledger detail review, accountsreceivable, etc. Write, summarize, and present data in a clear and concisemanagement report. Manage andapprove invoice and purchase order workflow in PayScan. Leasing
Ensure allavailable spaces are marketable and ready for leasing tours. Assist VicePresident with lease renewals and new leases as required. Manageinteraction with architects to produce space plans and construction documents. Assist withdeveloping tenant improvement scopes of work and obtaining budget pricing. Providelegal counsel with required lease documentation for drafting lease documents. Trackleasing encumbrances and providing required tenant notifications. Vendor Selection, Project Management and Contract Administration
Conductcompetitive and ethical bidding procedures for building services, capitalimprovements and interior construction to ensure quality and competitivepricing. Createservice and construction contracts with vendors and keep on-going contracts upto date. Overseescheduling and completion of contract work. Reviewconstruction documents and proposed work descriptions for accuracy and valuecreation. Ensurecompliance with local and national governmental laws and regulations. Developbeneficial relationships with service partners. Conductregular site meetings in the field to inspect work and review options toresolve open issues effectively. Conductinspections prior to approval of invoices and pay applications. Managemultiple projects simultaneously through effective time management andorganizational skills. Acquisitions, Development and Special Projects
Assist withthe due diligence process for potential acquisition of land and/or building(s). Track duediligence items and coordinate transfer of information with Seller. Coordinateand conduct tenant surveys at acquisition sites. Performbuilding inspections and report any concerns to acquisition team. Reviewfinancial data, property taxes, current insurance, tenant estoppels and anyother pertinent data. Coordinatenew or transfer of utility services at acquired or newly developed properties. Obtaincompetitive bids for installation or recurring services as required. Assistdevelopment or acquisition team with coordination of access, new services,building inspections or any other project as assigned. Supervisory
Provideleadership, supervision and team support for the property management andadministrative staff. Prepare anddeliver annual performance evaluation for direct reports. Provideoversight and manage day to day office activities. Education & Experience
Bachelor'sdegree in business, real estate, economics, or related field or at least 10years of experience working in a commercial or industrial real estate position. 10+ years'experience in commercial property management, leasing and construction. Knowledge, Skills & Abilities
Solidunderstanding of financial terms and principles, with ability to conduct basicfinancial analysis. Excellentcommunication (both written and verbal) skills are required. Demonstratessound judgment, ability to analyze and solve problems involving multiplefactors in various situations. Stronginter-personal and customer service skills with the ability to maintaineffective tenant relationships. Strongorganizational skills with attention to detail. Proficient withall Microsoft applications and experience with property management software,preferably Yardi.
