POSITION SUMMARY:
The Property Manager (PM) reports to the Senior Property Manager and responsibilities will include operations of building, customer service, vendor management, tenant construction, common area events and administration while providing clients (owners and tenants) the highest level of client service available.
ESSENTIAL ROLE REQUIREMENTS:
Experience in commercial property management accounting is required, including day-to-day activities of Accounts Receivable, Accounts Payable and lease administration, management reporting and an understanding of Operating Expenses and Operating Expense reconciliation procedures. Proficient with Yardi or MRI property management software, Word and Excel are required. Experience with accrual-based financials is preferred.
RESPONSIBILITIES:Develop and maintain positive owner/tenant relationship.Assists with preparation of annual budgets, forecasts, management plans, monthly performance reports, and variance reports. Understands and provides explanation for variances.Lease Administration including internal and external clients, estoppels, commencement letters, etc.Perform regular inspections of the property. Recommends and directs alterations, maintenance and reconditioning of property as necessary.Negotiate service contracts under the direction of the Senior Property Manager.Vendor Management includes inspections, tracking, and coordinating with tenants as necessary.Coordinates tenants move-ins and move-outs, and walk-through spaces with tenants and project management team.Work with Senior Property Manager on tenant construction including tenant renovation and blueprint reading.Maintain tenant request/tenant logs and ensure requests are addressed in a timely manner.Monitor and review preventive maintenance programs.Assist in collecting all rents due according to lease agreements.Review and research aged receivables reports. Work with tenants and property accountant to clear up unnecessary aged items.Review nightly security, housekeeping reports, creating action plans/work orders as necessary.Monitor performance of service providers through visual inspections upon completion of work.Track and communicate vendor work to team members; ensure services are completed per contract, invoices reviewed/coded/approved and paid on time.Coordinate work schedules and ensure adherence to building rules and access approval for tenant suites.Meet daily with housekeeping and other vendors as needed, inspecting work in progress, and maintaining service records.Maintain a current list of tenant contacts and facility coordinators; update quarterly as well as Truist department locations/information.Communicate building information, inspections, announcements to tenant facility coordinators.Update Tenant Handbook annually. Assist with updates to Tenant Safety Handbook as needed.Coordinate other tenant engagement events, anniversary flowers, tenant satisfaction survey, etc.Document all correspondence per Portman Management's information documentation procedures.Coordinates security access for tenants/visitors/vendors, verifying insurance certificates are on file.Assists with life safety training and participates in drills.Other duties as assigned by Senior Property Manager.REQUIRED EDUCATION, SKILLS, and EXPERIENCE:
College Degree PreferredGeorgia Real Estate License required.Five years commercial property management experienceFamiliarity with real estate software systems such as Yardi or MRIProficiency in Microsoft Office and Adobe Acrobat ProExceptional verbal and written communication skills.Strong analytical skills with careful diligence.Basic knowledge of accounting concepts and ability to produce accurate financial data.Strong critical thinking skillsExcellent organizational skills with ability to plan, prioritize and manage multiple tasks.Effective in building relationships with a wide variety of individuals.Ability to perform calmly under hectic conditions to include building emergencies.Must be able to move about property utilizing stairs, ladders, and lift to 25 lbs.
