GZA GeoEnvironmental, Inc. (GZA) is seeking a

Part-time

Administrative Assistant

in our

South Portland, ME

office to support our team of Principals, Project Managers, and staff engineers/scientists. The successful candidate will be comfortable working in a fast-paced, in-office environment. A high level of professionalism, cooperation, and interpersonal communication skill is crucial in this role.

Responsibilities will include:

Prepare electronic and hard copy letters, reports, tables, spreadsheets, etc. using Microsoft Office software and PDF files using Adobe and/or Bluebeam.Assist with planning and supporting office events.Coordinate meetings and seminars.Assist Principals and Project Managers with project accounting tasks such as project opening, invoice processing, processing subcontractor purchase orders, and other special projects as assigned.Support technical staff in the maintenance of project files; preparation of correspondence, proposals, and reports.Support contract administration; coordinate project submittals; prepare and distribute correspondence for regulatory agency compliance, permitting, and reporting.Filing, mail distribution.Phone/reception coverage.

A strong sense of teamwork.Experience with Microsoft Office suite (including Teams).Excellent attention to detail."Can-do" attitude in learning new skills.Excellent interpersonal and customer service skills.Comfortable supporting multiple team members and interacting with internal and external clients.Ability to maintain multiple task / project schedules simultaneously.Strong verbal written communication skills.Able to organize electronic calendars and filing systems.Experience in preparing Time & Expense reports.Knowledge and operation of office equipment, including printers, copiers, and scanners.Availability to work in-office approximately 24 per week Monday through Friday

Specific Skills & Experience :

Associate's Degree, plus 2 years office support experience or High School Diploma plus 4 years of experience.Experience working in a Civil Engineering / Environmental Consulting, or Construction environment is a plus.Experience with or ability to learn Boring Log software such as LogDraft and/or gINT.Able to create documents in MS Office (i.e. Word, Excel, etc.)Experience with database software (MS Access) and presentation packages (MS PowerPoint) would be a plus.
