Responsible for day-to-day oversight of all tenant correspondence, administration of tenant lease agreements, billing and collecting tenant receivables (AR), processing and mailing invoices (AP), preparing monthly and quarterly reports, assisting in annual budget preparation, event planning, vendor correspondence and assisting the Property Manager with special projects as necessary.

General Administrative DutiesOversee day to day office communicationMaintain office supply inventoryDraft memos and correspondenceEnter tenant work tickets in online work order systemOrganize lease, vendor and building filesAdminister tenant security key cards and activation approval processMaintain office contact list including tenant contacts, management office contacts and emergency contactsUpdate office calendar for building, accounting, and other project specific deadlinesAssist the Property Manager
Conduct routine building inspectionsPerform janitorial inspectionsMaintain tenant relations and coordinate quarterly tenant meetingsManage tenant move in processAssist construction manager and tenant during build-out phase of tenant suiteAssist with touring available space to prospective tenants upon requestPrepare vendor contractsAssist in annual budget preparation packageProcess Accounts Payable
Adhere to the accounting deadlines to ensure no delinquent paymentsCode all invoices with the correct expense code using the approved budgetEnsure that each invoice is valid and has a purchase order (PO)Ensure vendors are registered in RMISManage check return processMaintain AP files for all vendorsProcess Accounts Receivables/Collections
Use lease abstract to setup tenant billing in the accounting systemDeposit daily receipt of tenant rent payments and enter in accounting softwareCreate and deliver monthly rental statements to tenantsRun delinquency reports as directedLease Administration
Review and "abstract" new tenant lease agreementsInput information into accounting system for billing and trackingUpdate contacts, lease dates, billing information, insurance dates for monthly report generationOrder tenant suite signage / lobby directory, tenant gift in coordination with moveGenerate monthly insurance expiration reportsMaintain both original lease agreements/amendment documents in secure safe and all tenant lease files in electronic databaseMonthly Reports
Prepare month-end accounting "closing reports"Run audit trail accounting reports for the month-end closeEach month review the expense distribution report to ensure all invoices are coded properlyPrepare month end accruals and expense variancesEnsure monthly and quarterly client reports include variance comments, capital variances, and executive summary updatesJob Qualifications:
Bachelor's Degree preferred or equivalent combination of education, training, and experience. Commercial real estate experience preferredProficiency in Microsoft Suite (Word, Excel, Outlook, and PowerPoint) is requiredKnowledge/Experience with other software applications such as MRI, Yardi, and Kardin is a plusStrong written and verbal communication skillsStrong customer service and people skillsAbility to multi-task, prioritize. and complete assigned dutiesExcellent time-management and general organization skill
This position is
100% in-office . The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
Pay Range
$65,000-$65,000 USD
