Executive Assistant/Board Liaison

to primarily support the President/CEO, often assisting the Chief of Staff, and the broader executive team to a drive ongoing efficiency to the President/CEO's day-to-day work routine.The ideal candidate has previous experience as an Executive Assistant with superior attention to detail, great organizational skills, and the ability to juggle multiple high-priority requests. This role also requires collaboration with team members at all levels, sometimes under pressure. A high level of integrity and discretion in handling confidential information is important, as is a positive attitude. is to lead in the creation of educational, wealth building, and growth opportunities for those historically underrepresented throughout their careers as students, entrepreneurs and professionals.Essential Duties:Executive AssistantProvide ongoing administrative and logistical support to the President/CEO.Partners with the President/CEO daily on the management of email, appointments, phone calls, events, and other communications.Serves as a leader to ensure strong communications between NBMBAA and all external constituents.Provide research as requested by the CEO.Assist in the planning and implementation of special events.Manage all preparations for President/CEO, as well as staff meetings including scheduling; preparing agendas, crafting of all presentation materials; obtaining materials from staff; preparation and record keeping of meeting minutes.Maintain all office operations, filings and administrative duties including restocking office supplies and managing the physical office environment.Implement more efficient ways to run the office and troubleshoot malfunctions.Other duties as assigned.Board Liaison Duties & ResponsibilitiesPartners with and provides general support to the Board of Directors, inclusive of maintaining a positive working relationship in verbal, written, and electronic correspondence.Manage all preparations for Board, and other committee meetings including scheduling; crafting of all presentation materials; obtaining materials from staff; communications with Board and committees; preparation and record keeping of meeting minutes using an online board portal.Attend board and committee meetingsOrganizes logistics and provides event support for all board events.Creates and maintains the Board of Directors and Board committees' annual calendars.May provide logistical support for NBMBAA events or manage travel for board members at the request of the President/CEO.Other duties as assignedEducation and Experience:Bachelor's degree or equivalent combination of training and relevant work experience.Five or more years of experience as an Executive Assistant, Senior Administrative Assistant or similar role.Excellent organizational skills with an ability to think proactively and prioritize work.Strong understanding of nonprofit organizations and familiarity with community issues.Experience in supporting and communicating with President/CEO and/or Board of Directors.Ability to gain the confidence and respect of donors, board members and staff.Experience in handling confidential information and maintaining confidentiality of sensitive information.Knowledge, Skills & Abilities:Follows and supports policies and procedures of NBMBAA.Participates as a team member utilizing a collaborative style to achieve mutual goals.Demonstrates ability to work effectively with others; maintains confidentiality.Accuracy and attention to detail.Professionally conducts business; maintains an appropriate professional appearance.Excellent verbal and written communication skills (via phone, email and in-person).Interpersonal, organizational, time management and leadership skills.Creativity and self-initiative.An ongoing commitment to training in both areas of soft and technical skills to maintain current skills and knowledge.Proven computer and software use skills, especially MS Office.All Staff Duties:Supports the mission, vision and strategic goals of NBMBAA in order to serve both internal and external customers.Serves as leader to assure strong communications between NBMBAA and all external constituents.Actively seeks to learn the history of NBMBAA.Assist in the planning and implementation of special events.Attend staff meetings.Some evening and weekend work may be requiredPerforms other duties as assigned.NBMBAA is an equal opportunity employer.
