The School of Medicine Dean's Office is seeking a highly organized and professional Sr. Executive Assistant to support the Executive Vice Dean. This pivotal role provides high-level administrative support, requiring discretion, confidentiality, and a commitment to excellence.Key Responsibilities:* Calendar Management: Schedule and coordinate complex calendars, meetings, and events for the Vice Dean, ensuring all arrangements are in place and appropriate attendees are available. Manage meeting facilities, equipment, and catering as necessary.* Research and Reporting: Collect and compile data for meetings and reports. Prepare analyses, presentations, and materials for the Vice Dean, and respond to inquiries as needed.* Travel Coordination: Arrange travel for the Vice Dean, track expenses, and submit for reimbursement. Maintain Continuing Medical Education (CME) credits and manage the Vice Dean's CV and biosketch.* Meeting Documentation: Attend and coordinate meetings at the request of the Vice Dean, preparing concise minutes for distribution and record-keeping.* Cross-Unit Collaboration: Manage interactions with other University units, including MUHC, Offices of Advancement, Public Relations, and Faculty Affairs, ensuring smooth communication and cooperation.* Communication Management: Screen and respond to telephone inquiries and greet visitors, determining access based on priority. A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.Preferred Qualifications
* Proven experience as an executive assistant or in a similar administrative role.* Exceptional organizational and multitasking skills.* Strong written and verbal communication abilities.* High degree of professionalism, discretion, and confidentiality.* Proficiency in Microsoft Office Suite and other relevant software.Anticipated Hiring Range
